We are seeking a dynamic, highly-communicative, and organized team-player to support and coordinate a variety of responsibilities across our company. The ideal candidate will bring a “can-do” attitude to tackling operational tasks such as managing expenses, creating SOPs, building reports, and analyzing data.

You will work closely with our sales agents, accounting staff, buyers and our world-renowned professional speakers as a valued member of our operations team.


Duties and Responsibilities:

  • Work closely with the finance department:
    • Create jobs, sales orders, and invoices
    • Audit transactions and reconcile financial statements
    • Assist with month-end and year-end closing
    • Collect data and build reports in both Quickbooks and Salesforce
    • Manage expense accounts, credit cards, receipts, and files
    • Investigate and solve customer/vendor inquiries
  • Assess and find improvements in office efficiencies
  • Support management with critical planning assignments
  • Manage and complete ad hoc projects
  • Collaborate with HR to create, update, and maintain office procedures
    • Handle sensitive and confidential information with a high degree of integrity
  • Collaborate with IT to maintain office equipment
  • Liaise with facilities management vendors

Requirements

  • 3 years of experience in a professional office environment
  • Associate or Bachelor’s degree in business administrator, or related field, or 7 years related experience
  • Ability to work in a collaborative environment both virtually and on-site at our Santa Barbara office
  • Excellent attention to detail
  • Extraordinary communication skills
  • Strong analytical and problem solving skills
  • Proficiency in MS Office & Google Suite
  • Experience with Quickbooks

  • Effective time management and prioritization
  • Ability to adapt to changing priorities and work within deadlines
  • Excellent communication skills via face-to-face, email and phone
