Berkshire Hathaway HomeServices California Properties is currently looking for an Office Administrator with impeccable follow through and exceptional communication skills, as well as organizational and problem solving skills.

We have an exciting opportunity for a focused, energetic, and driven Office Administrator to join in our Yorba Linda, CA office location. The position provides support and exemplary customer service to the both Sales and Brokerage divisions. They facilitate the accurate daily procession of closing files submitted from the office agents.

Responsibilities:

  • Follow procedures and scheduling ensuring that the highest quality service is rendered to the sales agents in the process of closing files.
  • Process daily transaction files, which includes production, closings and cancellations.
  • Daily file review of brokerage transactions.
  • Daily Deposits.
  • Reports, daily, weekly and monthly for the Sales Division.
  • Research incoming miscellaneous and unidentifiable checks for rentals and referrals.
  • Request any W9’s for outside referrals as needed.
  • Assist with questions from agents, staff, and management with day-to-day challenges to maintain a positive work environment.
  • Remain up to date with the policies and procedures of Berkshire Hathaway HomeServices AZ-CA-NV Properties.
  • Coordinate special events, collateral material, flyers, handouts and brochures.

Perform any additional office administrator-related responsibilities as requested or assigned.

  • Meet all performance and behavior expectations outlined in the company performance appraisal form or communicated by management.
  • Perform responsibilities as directed achieving desired results within expected timeframes and with a high degree of quality and professionalism.
  • Establish and maintain positive and productive work relationships with all staff, customers and business partners.
  • Demonstrate the behavioral and technical competencies necessary to effectively complete job responsibilities. Take personal initiative for technical and professional development.
  • Follow the company HR Policy, the Code of Business Conduct and all subsidiary and department policies and procedures, including protecting confidential company information, attending work punctually and regularly, and following good safety practices in all activities.

Required Education & Experience:

  • A minimum of a high school or equivalent work experience and knowledge.
  • A minimum of two years of related experience or demonstrated skills a plus.
  • Real Estate license a plus.

Required Skills:

  • Strong computer skills; proficient in Microsoft Office products, including Word, Excel, and Outlook. Google Drive a plus.
  • Excellent oral and written communication skills.
  • Effective organizational and interpersonal skills. A strong customer-service focus.
  • Effective analytical, problem-solving and decision-making skills; initiative, attentional to detail, and a team player.
  • Knowledge of DPN and SkySlope preferred.
  • Must be flexible for last minute processing.
  • Able to meet deadlines and handle high volume workload in a fast paced environment.
  • Independent thinking.
  • Ability to handle stress and work under pressure.

Wage:

$19.50/hr.- $22.50/hr.; actual wage is based upon education and experience.
