Job Title: Administrator, Accounts Receivable & Customer Service

Reports To: VP of Sales

Hours: 8:00 AM to 5:00 PM - Monday through Friday

Job Description: Customer facing account administrator who will frequently communicate with the company's core customers. This person should be diligent and organized with a demeanor that is pleasant yet firm when necessary. Developing strong relationships with administrators at our key customers will be key to success in this role, as these gatekeepers are essential in resolving challenging issues such as unpaid invoices or disputed deductions. This person will also work closely with the VP of Sales in organizing and managing a variety of sales administrative functions. Managing these records will be very helpful in understanding the communications received from our customers as they relate to trade activity and deductions from payment.

A minimum of 3-5 years of applicable experience is required for this role.

Key Job Functions: (In priority order)

• Accounts Receivable
• Monitor AR aging report daily and follow up with any past due accounts to secure payment
• Review paid invoices to insure that any deductions taken were justified
• Follow up with the customer's accounts payable department, requesting repayment for any unjustified deductions.
• Insure that all shipments have an invoice tied to them and are invoiced promptly.
• Account Management
• Manage setting up new customers in system after checking credit references and approving credit.
• Manage Customer Service portal in ERP system (PLEX), making sure all contact info and communication history is recorded in the system and is current.
• Maintain schedules of all customer related funding activity, including:
• Promotional allowances
• Marketing funds/events
• Freight Allowances
• Terms
• Reclamation / Damages agreements
• Customer fees for systems or other requirements paid annually
• Manage customer related portals as necessary (After being trained by the VP of Sales)
• Calculate brokerage due to be paid monthly and prepare those statements to be shared with the broker and President of the company.

Job Type: Full-time

Pay: $60,000.00 - $75,000.00 per hour

Expected hours: No less than 40 per week
