Job Summary: As an Administrative Assistant at Bess MTI, you will play a pivotal role in ensuring the smooth functioning of our organization. You will provide administrative support to various departments, assist in office management tasks, and help maintain efficient internal processes. Your attention to detail, organizational skills, and professionalism will contribute to the overall effectiveness of our team.

Key Responsibilities:

Office Management: Oversee office operations, including maintaining office supplies, equipment, and organizing the office layout for optimal efficiency.

Scheduling: Manage calendars, appointments, and meetings for executives and team members, ensuring timely and efficient scheduling.

Document Management: Organize and maintain electronic and physical documents, files, and records, ensuring they are easily accessible and properly archived.

Communication: Serve as the primary point of contact for internal and external communications, including answering phones, handling emails, and directing inquiries to the appropriate personnel.

Travel Coordination: Arrange travel itineraries and accommodations for team members as needed.

Meeting Support: Assist in planning and organizing meetings, including preparing agendas, taking minutes, and coordinating logistics.

Data Entry: Accurately enter and manage data, including client information, project details, and financial records.

Client Support: Provide excellent customer service to clients, addressing inquiries and directing them to the appropriate team members.

Assist in Training Programs: Coordinate training program logistics, including participant registration, materials preparation, and scheduling.

Assist in Invoicing: Assist with generating invoices and managing billing processes.

Special Projects: Support various departments with special projects and tasks as needed.

Qualifications:

  • High school diploma or equivalent; associate's degree or certification in office administration is a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to multitask, prioritize, and meet deadlines.
  • Professional demeanor and ability to handle confidential information with discretion.
  • Familiarity with office equipment and basic troubleshooting.
