Postal Clerk (HR 03)


Summary:

Under the supervision of the CPO Postmaster, this position provides support for the specific operational functions of the Campus Post Office/Mail Service and within the larger department and provides secondary support for all departmental operational requirements and supporting all other functional needs of the department. Serves as the back-up for the CPO Postmaster and completes the Postmaster’s duties in the absence of the Postmaster.

Minimum Qualifications Required:
Education required to ensure success in this position:
  • High School Diploma, or equivalent, required

Experience required to ensure success in this position:

  • Minimum of 1 year of directly related experience in a US Post Office or large Mail operations environment.

Special skills, knowledge and abilities:

  • Engaging and effective customer service skills are a necessity.
  • Strong computer literacy is required.
  • Ability to work with learn other and other administrative functions outside of mail.
  • Cashier, cash handling and financial recordkeeping skills necessary
  • Maintaining up-to-date knowledge of Postal rules and shipping regulations needed.

License, certification, or registration necessary:

  • Valid driver’s license.

Physical requirements:

  • The work area involves risk exposure to the extent of being around or operating moving equipment, moderate noise levels, or handling various heavy packages – specifically lifting packages up to 75 pounds and ability to push mail carts of up to 200 pounds.
Environmental conditions:
  • Work is based inside but is required to go to loading dock to help unload/ load mail carts (in rain, sleet, snow, etc.). Will be responsible to see that loading dock area is clear of snow and ice when necessary. Ability to function in a sometimes hectic and stressful customer environment is needed.

Ability to operate the following vehicles or equipment:

  • All equipment and software within the department, including but not limited to postal meters, scales or related postal equipment. Software includes but is not limited to the Banner Suite, USPS and related Postal software and hardware and others as necessary.

Primary Duties and Responsibilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Supports and assures that the College’s mail service complies with federal postal rules and regulations in the receipt, handling and distribution of all classes of mail.
  • Supports the CPO and department providing efficient, prompt, service-oriented mail service for the campus and community by operating within budget while providing a quality mail service to the campus, receiving and distributing incoming United State Postal Service and campus mail, weighing and sending packages and all classes of mail, and collecting outgoing mail for pick-up by the postal service according to Federal Postal Regulations.
  • Supports and assures compliance in the operation of the contract station regarding maintaining accurate account records for the sale and purchase of stamps, compiling sales information and preparing required daily reports for the United States Postal Service and College and depositing revenues from postage sales with the Postal Service and College as per policies and practices of each.
  • Supports and provides a professional, service-oriented mail service operation by answering inquiries concerning campus and United States mail services and regulations, explaining rates, special types, classes of mail, and packaging requirements, and advising mail service patrons on the most appropriate category and class of mail to meet their needs.
  • Supports assurance of an appropriate stamp inventory, business reply mail funds and postage meter machine funds by collaborating with the Local and Regional USPS offices and leadership.
  • Supports the larger department in all necessary customer service and operational functions.
  • Engage with student staff to ensure duties are fulfilled. May be asked to retrain students on the job. Work with the Postmaster on any student development needs. May be asked to supervise students in the case of the Postmaster’s absence. In support of Berea College’s great commitments this position requires student supervision. The fourth great commitment is to promote learning and serving in community through the student labor program, honoring the dignity and utility of all work, mental and manual, and taking pride in work well done. The Supervision would include scheduling, assigning and approving work performed. Developing students about common workplace acumen and giving them tangible work experience is an expected outcome.
