Bentley University is Hiring an Administrative Coordinator, Pulsifer Career Development Center Near Waltham, MA

Job Description Summary
This position reports directly to the Senior Associate Director and Operations Manager for Undergraduate Career Development (UCD) within the Pulsifer Career Development Center.
Primary duties of this position is to be the face of the office, greeting and helping all who enter. This individual will provide administrative assistance to the Undergraduate Career Development team and the Assistant Vice President of the Pulsifer Career Development Center, including, but not limited to, scheduling appointments, event support, processing / organizing invoices, alumni tracking and more. The Administrative Coordinator will be an expert on office's internal system of business, Handshake, to help students understand and maximize the use of this system. Essential Duties:
This position is an essential member of the team and is the face of the office, present in the front of the office, to greet everyone walking through the door (students, staff, employers, alumni, faculty, parents), checking visitors in for appointments, answering questions, letting staff members know their appointments are there, etc. This employee will Support Pulsifer Career Development Center's and Bentley University's Diversity, Equity and Inclusion goals and Bentley's Core Values https://www.bentley.edu/about/mission-and-values.
Essential duties include:
  • Provides administrative assistance for the Undergraduate Career Development Team. This includes, but is not limited to, the following: help with scheduling and tracking student appointments; manage all in-coming queries via phone, email and in-person.
  • Lead and manage corporate and vendor invoicing and tracking and purchase office supplies.
  • Schedule department staff and other departmental meetings and take and provide clear notes from meetings; Manage zoom technology and camera and microphone for these meetings.
  • Become an expert user on Handshake to help any students needing assistance in navigating the system.
  • Manage room booking and catering orders for UCD events; liaise with The Conference Center to provide room scheduling and media services.
  • Work individually with all UCD Career Coaches to provide support before, during and after events.
  • Actively track employer and alumni engagement as it relates to the UCD team events.
  • Provide administrative assistance in the running of the Career Closet including checking donation bins, sorting / preparing donations for the Closet, escorting / checking students into the room.
  • Conduct data processing in Handshake, including label creation for students who have completed our CDI courses and other items as needed.
  • Conduct data sourcing on LinkedIn to identify where our graduates have landed.
  • Photocopy and help prepare brochures, CDI materials, handouts, plus other materials as needed.
  • Oversee the printers / copiers, knowing how to troubleshoot any issues.
  • Provide software support to staff and students (including Microsoft Office (Outlook, PowerPoint and Excel), Handshake, WorkDay, UConnect, VMock, Big Interview, Interstride, etc.), this includes knowing where to locate the resources and how to navigate through them.
  • Additional duties may include drafting newsletters, updating web, marketing materials, coordinating student work, and keeping track of final student placement reports.
Secondary Duties :
  • Will be asked to assist Employer Relations team (as needed) within the Pulsifer Career Development Center with: greeting employers and helping to set up interview days for on campus recruiting as needed, approving Handshake jobs and events and help monitor the recruiting email and phone when needed, and helping with logistics prior to the two campus wide career fairs and assist day of the fair.
  • Help with ad hoc requests from managers and Assistant Vice President, Pulsifer Career Development Center.
Minimum Qualifications:
  • HS Diploma or G.E.D. equivalent with a minimum of 4 years experience, OR a Bachelor's degree with a minimum of 2 years of relevant work experience.
  • Strong proficiency with Microsoft Office, Outlook, Word, PowerPoint and Excel.
  • Willingness and ability to learn and master new technology and platforms.
  • Must be respectful and aware of diversity of the student, staff and faculty population; make effort to work with cultural differences and open to learning about such differences.
  • Excellent communication skills (verbal and written) required.
  • Outgoing self-starter and ability to work independently.
  • Must have strong work ethic, be detail oriented and devoted to consistently delivering a high level of customer service.
  • Must demonstrate initiative and dedication to finishing tasks expediently/when due; must have excellent follow up and follow through skills.
  • Must be able to adapt to an ever-changing work environment with many interruptions.
Work Environment:
  • Typical office setting with extensive sitting and computer work. This position is in office, five days a week. There will be minimal virtual/remote work and only as approved by manager.
  • Ability to travel within campus and off campus for meetings and other work-related events.
