BEND GOLF CLUB OVERVIEW

Bend Golf Club (BGC) is a private, member-owned Club located in Bend, Oregon, one of America’s most beautiful and dynamic cities. The club is minutes away from the city center and the area’s plentiful recreational opportunities, including the Deschutes River, the Cascade Lakes Recreation Area, the Deschutes National Forest, and the Mt. Bachelor ski and snowboard resort.

BGC opened in 1925 and is the oldest golf course and private club in Central Oregon. The original nine-hole course was designed by renowned architect Chandler Egan. The second nine holes were added in the mid-1970s. The course is highly walkable, with tees varying in length from 5,500 yards to 7,100 yards. A century after it was first conceived, today’s course still features towering old-growth Ponderosa pines, sweeping vistas of the Cascades, volcanic basalt outcroppings, and a classic golf setting that has hosted the Oregon Open, Northwest Open, Oregon Amateur, PNGA Mid-Amateur, and other important competitions.

The land for the club was originally donated by the Brooks-Scanlon lumber company as a recreational benefit for it’s employees. BGC still retains the same unpretentious vibe and culture, while adding modern amenities such as workout facilities, indoor tennis / pickleball courts, and an indoor pool. Members also gather at the beautiful dining and meeting facilities of the club, which are available to the public for private events. The club is debt free and cash-flow positive, with more than 350 active golf memberships and approximately 200 athletic, tennis, and social members.

JOB SUMMARY

The Membership Director is responsible for maximizing membership recruitment and the retention of current members through strategic marketing and sales efforts. Serves as the face of membership while networking inside and outside the club to obtain leads and build relationships with prospects, new members, existing members, and influential groups of the community that are in the club’s market. The Membership Director is also responsible for keeping external and internal marketing content current, to increase awareness of the club’s brand within the community and encourage membership participation.

Develop and implement programs, projects and activities designed to increase and retain membership in the club. Represent the club in its relationships with numerous external constituencies.

ESSENTIAL JOB FUNCTIONS/DUTIES

  • The Membership Director is the face of the Club for Membership relations. Manages all Membership inquiries, develops and executes club prospecting/marketing plan targeting all membership segments.
  • Preparation of monthly membership reports for the Board of Directors, General Manager, and Membership Committee
  • Publish, maintain, update and deliver all internal and external marketing content across multiple layers of member outreach (club website, Facebook, Instagram, etc.) and brand awareness within the community. Coordinates and publishes membership communications and the club website (including member portal)
  • Workable knowledge and ability to learn administration of website (coding done by developer), navigation of CRM software, and leading and assisting in digital marketing
  • Maintains and keeps all records concerning membership including member database, attrition, annual dues, initiation fees, member utilization, etc.
  • Works with General Manager and Controller for the development of the budget and annual goals for dues revenue and membership
  • Coordinates monthly billing processes with Controller and is point person for member questions regarding statements
  • Implements all processes, programs, and procedures relating to prospective members, membership applications, new member orientation program, and club tours
  • Implement and support all company initiatives and programs requested by management and the Board of Directors
  • Follows policies and procedures and is able to effectively communicate them to club level teams
  • Attend management meetings and additional general or committee meetings established by General Manager. Work closely with entire staff at the club to ensure the Membership recruitment and retention is a major priority
  • Supportive team player who actively contributes and effectively communicates information that helps all associates increase their understanding of membership goals, changes to policies and procedures, activities/process related to member activities, satisfaction, and retention
  • Lead the content, production/packaging, and delivery of a thorough and accurate onboarding of every new member ensuring that the entire process follows a structured plan, materials are professionally presented, and the member gains a full understanding of every element of the club, how to use it, and what the individual departments offer
  • Processes member resignations; develops reports and undertakes special projects as applicable if membership retention problems arise
  • Manages all waiting lists for club and golf memberships
  • Oversees the administration of all membership rules and regulations to ensure consistency in interpretation and application; updates club rules and regulations and keeps members informed of changes
  • Coordinates Board meeting minutes with the General Manager and Board Secretary
  • All other general marketing and office duties not listed above
  • Other duties as assigned

QUALIFICATIONS

  • Education/Experience: Bachelor’s Degree in Business field or extensive similar experience that is equivalent. Must be comfortable utilizing professional sales and marketing skills to perform sales calls, generate qualified leads, execute marketing campaigns, and actively develop and participate in outbound sales activities and networking events to create top-of-mind brand awareness within the community on behalf of the club. Must be proficient with Microsoft Office, website graphic and text design, Facebook, Instagram, and Adobe Creative Cloud / Canva. Experience in Club management systems such as Clubessential preferred. Must be able to use these platforms to create attractive flyers and eye-catching designs to draw participation from members and guests.
  • Working Hours: The Membership Director is expected to be on duty during normal club industry working hours and whenever presence is required. An adaptation of working hours may be required to produce collateral that is time sensitive or other tasks within the prescribed deadlines.
  • Language: The Membership Director is required to speak English
  • Conduct: Ability to handle multiple priorities and meet deadlines for timely publication. Must have a high degree of professional integrity and be able to work safely, effectively and efficiently.
  • Uniform: Clothing should be standard business attire.

WORKING CONDITIONS

  • Membership Director is to be provided a desk, chair, phone line, computer, and all other normal office type supplies to help them succeed in their role here at the club.
  • Employee expected to dress appropriately and be one of the main faces for club activities and membership promotions.
  • Some travel is required. 

SALARY AND BENEFITS

  • Competitive salary commensurate with experience: $55k - $65k base range depending on experience plus annual performance bonus potential
