Job Title | Quality Assurance Document Specialist

Department: Quality Assurance / Food Safety

Reports to: Food Safety Manager

FLSA Status: Non-Exempt

POSITION OVERVIEW

The information provided below encompasses the functions and capabilities linked with this position. It is required that this position actively supports Beaverton Foods and all employees and customers in a positive manner.

The Document Specialist is part of the Quality Assurance team and is responsible for the creation, update, and storage of key documents. Working with the Quality Assurance manager and Food Safety/Regulation Specialist the Document Specialist will ensure the proper storage and maitenance of documents and records. This position will also support the Customer Service team by taking in customer complaints and concerns and then filing these for review in the correct logs. This position is Non-Exempt and paid at an hourly rate depending on experience.

ESSENTIAL JOB FUNCTIONS

The information provided below encompasses the functions and capabilities linked with this position.

· Maintain files and records to ensure accuracy, integrity, and security of important documents

· Works with customer service on document requests (w/ FS, R&D and QA Manager support)

· Works with receiving (matching Lot #’s, CoA’s, etc.) from raw material, ingredients, and packaging supplier documents to internal documents and receiving paperwork.

· Work with QA team to ensure that all raw materials, ingredients, packaging and finished goods specifications are current

· Maintain registers for finished goods specifications and labels

· Requests documentation from ingredient suppliers & updates internal records. Consistent follow up required

· Review and update labels

· Assist R&D, QA and Food Safety Department with customer requests

· Participate in cross-functional training and ensure training requirements are met

· Manage the Supplier Approval Program including the Vendor Performance Program.

· Review COA’s and make sure limits are within ranges to support Food Safety/Food Fraud

· Actively contribute to efforts to streamline company processes or data storage

· When requested, provide timely and accurate reports/information

· Participate in general trainings including GMP and safety

· Act as a back up for the Quality Assurance Technicians and assist as needed

· Is a direct assistant to the Food Safety Manager

· Other tasks as assigned

OTHER JOB FUNCTIONS

· Works with customer service on document requests (w/ FS, R&D and QA Manager support)

· Works closely with receiving verifying HACCP receiving documents

o Verifies Internal/External Lot Numbers, Ingredient Statement, etc. for raw materials, ingredients, and packaging

o Verifies (a.) against supplier/distributor documents, Certificate(s) of Analysis, bill of lading, purchase order, receiving paperwork and various other internal/external documents

o Double-check limits defined in Approved Supplier List & Specification are within acceptable range on CoA’s for each lot

o Files completed documents, flags any issues for Food Safety Manager or Receiving/Inventory Manager

· Maintains relationships with suppliers via consistent phone and email contact

· Requests documentation from ingredient suppliers & updates internal records. Consistent follow up and upkeep is required

· Maintains Supplier Approval Program, notifies Food Safety Manager of any non-conformances as defined in SOP

· Annually conducts Vendor Performance reviews in collaboration with Purchasing Manager & Food Safety Manager

· Maintains files and reports to ensure accuracy, integrity, and security of important information

· Checks sanitation chemical concentrations 2x daily (working w/ suppliers)

· Supports Gluten Free, Non-GMO, Organic and Kosher programs

· Supports all HACCP, Food Safety, Food Defense regulations and other programs in compliance with FSMA and other regulatory guidelines

· Complies with GMP’s and various other site-wide policies and procedures

· Schedules 3rd party laboratory sample pickup for testing

· Monitors mixing area cameras for Food Defense program

· Supports QA for various tasks during day shift (i.e.- Check mixers 1st samples when QA Technician is doing line checks, test VINEGWD delivery for quality statistics as needed, perform Organic & Gluten test swabs on production startup as needed)

· Verify sanitation Pre-op procedures and inspect food contact equipment. Immediately notify Food Safety Manager or Director of Operations of any discrepancies

· Print forms for production (ex. formulas for mixers, etc.)

· Acidified line processing temperature validation

Qualification Requirements and Skills needed.

· Experience using MS Office, especially excel, and familiarity with storing data

· QA experience preferred but not required

· Attention to detail and excellent organizational skills

· Good communication skills both written and oral

· Ability to work independently but also as part of a team

· Ability to read, analyze, and interpret Standard Operating Procedures (SOPs), industry regulations and other important information.

· Ability to write and effectively present information by responding to questions from managers, clients, and brokers.

· Ability to safely shelve and retrieve files or boxes from varying heights

This position is responsible to support all HACCP, Food Safety, Food Fraud, Food Defense programs and regulations by completing all Lot Tracking, Critical Control Point and Sanitation requirements.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Beaverton Foods’ documents and policies are written in English.
