Summary

Thrive in a fast-paced environment as a highly organized and detail-oriented Executive Administrative Assistant, providing exceptional support to leadership and driving operational excellence.

You will wear many hats, handling a variety of administrative, human resources, volunteer coordination, and event planning tasks, ensuring the smooth daily function of the organization.

Responsibilities

Streamline Office Operations (60%)

  • Proactively manage correspondence, reports, and documents with accuracy and efficiency.
  • Utilize advanced office software to maintain organized and accessible records and databases.
  • Anticipate needs, troubleshoot issues, and provide solutions to optimize office workflow.
  • Manage mail and office supplies, ensuring a seamless flow of communication and resources.
  • Actively participate in staff meetings, contributing valuable insights and recommendations for continuous improvement.
  • Coordinate travel arrangements, ensuring efficient and cost-effective travel planning.
  • Maintain departmental manuals and records, keeping information accurate and readily accessible.
  • Embrace new challenges and readily take on additional responsibilities as needed.

Champion Human Resources Initiatives (20%)

  • Become a pro in HR processes, handling all employment paperwork for staff efficiently and accurately.
  • Partner with leadership in recruitment efforts, screening applicants and assisting with onboarding new hires.
  • Organize and maintain employee files, ensuring all documentation is up-to-date and readily available.

Cultivate a Thriving Volunteer Program (10%)

  • Develop and promote diverse volunteer opportunities, attracting a passionate volunteer base.
  • Implement a comprehensive volunteer recruitment, training, and management program.
  • Track volunteer activity and generate insightful reports to measure program effectiveness.

Orchestrate Successful Events (10%)

  • Partner with leadership to plan and execute impactful events, from fundraising initiatives to volunteer appreciation gatherings.
  • Secure vendors and volunteers, fostering strong relationships and ensuring smooth event execution.

Qualifications

  • Associate degree in business administration or related field, or equivalent combination of education and experience.
  • Minimum two years of experience in a fast-paced administrative or human resources role.
  • Demonstrated proficiency in a suite of office software (Microsoft Office preferred).
  • Excellent communication, interpersonal, and organizational skills.
  • Strong commitment to confidentiality, professionalism, and working independently.
  • Valid driver's license.

Physical Requirements

  • Ability to meet attendance requirements and maintain a positive and professional demeanor.
  • Proficient in performing basic office tasks (filing, typing, etc.).
  • Thrive in a dynamic environment and manage multiple priorities effectively.
