Salary: Up to $48.5K - $50K based on experience

Job Summary: Coordinates Program Contracts and Staff for BSI’s Youth Division.

Job Duties: Ensures that all services provided follow Federal, State, and local County applicable standards, guidelines, and regulations. Make sure that the program is in alignment with Be Strong International’s (BSI) Vision and Mission. Manages the work to ensure the delivery of high-quality services with excellence. Develops and directs customized solutions to individual client needs. Collects and analyzes data to appropriately measure program’s outcomes and deliverables.

Experience and Education: Knowledge of the field's policies, procedures, and practices. Has authority for personnel decisions (performance, or disciplinary actions) and should have 2 or more direct reports. Requires a bachelor’s degree and a minimum 2 years of experience supervising others and overseeing multiple after school program sites.

Reports to: Reports to Senior Program Manager

Competencies: Skilled in sharing knowledge and mentoring others. Experienced in task and personnel management. Strong communication skills, both written and oral. Capable of building collaborative partnerships. Detail-oriented with a knack for meeting deadlines and skilled in prioritizing tasks effectively. Possesses project management knowledge.

Job Responsibilities:

  • Program Coordinator proper training and understanding of: Contract, Contract Deliverables and Compliance, Program Curriculum, Domestic Violence and Identifying and Reporting Child Abuse and Neglect, and every other training mandatory for the program in charge.
  • Program Coordinator will ensure all school staff follow State requirements on reporting child abuse and neglect.
  • Adhere to necessary systems for program management.
  • Assist in the creation and/or updates of all forms such as: SOP, Participant Application (intake form), Parent Handbook, Policies & Procedures, and Surveys required by the funder and/or BSI.
  • Assist Program Manager with input to update Contract amendments or make modifications as needed.
  • Assist Program Manager with any updates for ‘Continuation Application’ in funding renewal, at the end of each program year.
  • Maintain good working relationships with the Contract Managers, and program staff,
  • Make sure timesheets and invoices are turned in, in a timely and accurate manner.
  • Capable of reading budgets and making informed decisions on spending and purchases. Order all program supplies (workbooks, tablets, general office supplies, program materials, etc.) according to budget.
  • Order all advertising (flyers, banners, brochures, etc.) and promotional items (T-shirts, mugs, pens, etc.) for recruiting purposes, incentives, and community outreach.
  • Approve and process all Requisition Forms (for payments) from Subcontractors and other invoices.
  • Attend all meetings, webinars, workshops, seminars when required.
  • Ensure that all staff, volunteers, and subcontractors share and have each other’s contact info.
  • Uses Teamwork software to document all administrative processes and upload important program documents in a timely manner.
  • Coordinate and schedule all the mandatory Program's activities and other events.
  • Make sure reports, assessments and other deliverables are done by staff and participants and reported on time.
  • Collaborate with the Data Department to ensure accurate analysis of all data and detecting any errors.
  • Regularly meets with his/her program staff to go over any challenges and come up with strategies in a timely manner.
  • Assist team with field trip logistics, events venues, payments, volunteers, food and incentives.
  • Complete probationary period and yearly evaluations, if applicable.
  • Complete program observations and curriculum fidelity implementation, if applicable.
  • Complete any required training before the deadline (as provided by the onboarding process or your direct coordinator upon hire).
  • Other duties as assigned.

Essential Duties and Responsibilities:

  • Have reliable transportation.
  • Able to monitor and travel to multiple program site locations in a single day (at times between various counties).
  • Able to monitor and travel to two program sites on a weekly basis.
  • Available to work occasional evenings, weekends, overnights, and conduct out of state travel as required.
  • Implement core values for all tasks and activities within the workplace.
  • Available for questions from program and school staff until program conclusion time.

Required Experience, Qualifications and Skills

  • Bachelor’s degree required.
  • English language is required (can read, write and speak fluently).
  • Minimum 2 years of experience in related work fields. Non-profit experience is a plus.
  • Leadership skills to lead team members towards achieving a common goal.
  • Excellent self-starter and self-motivated.
  • Proficiency in computer skills and programs such as Microsoft Office: Word, PowerPoint, Outlook and Excel.
  • Ability to learn new software and utilize new tools.
  • Time Management skills.
  • Detailed oriented. Excellent communication skills (written and verbal).
  • Must possess a sense of urgency.
  • Must be able to prioritize tasks effectively.

Physical Demands:

This position is regularly required to sit, stand, walk, speak, and hear. The position requires extensive computer use so the employee must have sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen.
