Bay City Electric Works is looking for a Rental Coordinator or Rental Supervisor responsible for providing customer support through every step of the generator rental process, working closely with our Sales team and Technicians.

The Role
Our Rental Coordinator/Supervisor takes on the day-to-day coordination and administration, once a rental proposal has been finalized by our Rental Sales Team. This involves providing customers with support of all activities throughout the rental process and ensures customer satisfaction, as well as administrative duties to support the process. This person will be the main day-to-day contact for our Rental Technicians, coordinating daily assignments based on customer needs. As part of a small, but growing team, our Rental Coordinator or Supervisor will work closely with our Rental Sales Executives as well as our Director of Rental to support daily operations and provide the best possible customer service.
Daily responsibilities include the following:
  • Be the main point of contact for all customers renting equipment, working to ensure Customer satisfaction, through responsive and supportive interactions
  • Creating rental agreements
  • Create schedule for and dispatch rental technicians; Prepare and update daily work log of ongoing and upcoming rental technician activities
  • Coordinate deliveries and pickups for rental units
  • Track and coordinate rental services, repairs, and fueling, providing status updates and information regarding equipment availability
  • Processes and maintains accurate records and files for customers, vendors and equipment
  • Process vendor PO's and invoices
  • Processes customer billing
  • Reserve equipment, including coordinating re-rented units from other vendors
  • Maintain rental equipment inventory, including keeping an accurate electronic rental board
  • Respond to customer correspondence on rental units
  • Maintain and reconcile cable inventory records
  • Reconcile all vendor and customer invoices at month-end to confirm all jobs have been processed
  • Track and apply for new and renewal PERP permits for all equipment
  • Ensure safety rules are followed and report and/or correct any unsafe or potential risk situations
  • Assist AR team with customer collections, when needed
  • Act as Administrative On-call representative for Rental team on a rotating basis (one week every three weeks) during after-hours and weekend period.
  • If hired as a supervisor, carry out supervisory responsibility for our Rental Technicians.
Required Skills and Experience:
  • 3 - 5 years rental equipment and/or electrical contractor experience; Prior service or rental industry experience strongly preferred
  • 2 - 5 years of administrative work experience
  • Excellent internal and external customer relations skills
  • High school diploma or GED
  • Ability to multi-task and set priorities accordingly
  • Ability to write reports and business correspondence, especially heavy focus on email
  • Flexible Team Player; Comfortable speaking up and bring new ideas to the team
  • Ability to meet deadlines and make critical decisions in a fast-paced, dynamic environment
  • Computer literate; proficient in MS Office products (Word, Excel, etc.)
  • Familiar with Great Plains, Winsoft or similar service/parts/rental management software, strongly preferred
  • CRM or Sales Force or equivalent system knowledge, preferred
  • This position requires regular movement around our facility including the ability to move around uneven ground, climb or balance and stoop, kneel, crouch, or crawl to assess equipment status and needs.
  • Basic understanding of Electrical concepts, preferred
  • If hired as a Supervisor, position will require travel up to 5% of time

As a BCEW team member, you will enjoy a total compensation package that includes competitive pay and benefits:
  • The pay range for position is $63,000 - $80,000 salary, dependent upon experience. Additional profit-sharing inclusion for Supervisor candidates. Additional on-call pay of $100 per week will be paid for on-call weeks.
