Job Description

The Front Desk Receptionist will be responsible for managing communications at Bastian Solutions Corporate Headquarters while providing general administrative support.

Please note – the hours for this position are 7:30 am – 4:30 pm.

Essential Functions

  • Greet visitors and direct guests, ensuring check in via Verkada.
  • Manage office communications including phone calls and specific email boxes.
  • Manage and assign guest badges utilizing tracking spreadsheet.
  • Assist other Bastian offices with phone coverage. All remote office phone queues are connected to Corporate Front Desk. If local and/or sales queue goes unanswered, defaults to Corporate queue.
  • Process outgoing packages for those requiring assistance.
  • Process incoming packages – take pictures, send to recipient, place in cabinet.
  • Process incoming US Mail – sort, scan to addressees
  • Process and deposit of incoming checks for AR Team.
  • Coordinate ordering meal(s) as needed for meetings that are off-site or at corporate headquarters.
  • Ensure HQ meeting rooms are ready for incoming guests with Boardroom stocked appropriately.
  • Maintain coffee stock on 2nd floor café and 3rd floor main breakroom.
  • Maintain all supplies needed in various breakrooms and café including snack drawers in cafe.
  • Managing 2nd floor lockers.
  • Assist in submittal of service reports for building repairs, follow-ups as needed.
  • Keep shared office spaces organized.
  • Review submitted form(s) requesting new business cards to ensure accuracy, submit to vendor, forward approval email, maintain spreadsheets for all orders submitted, approve vendor invoice for same
  • Assist in planning and executing off-site meeting(s).
  • Immediately investigates and begins resolution process for reported troubles on phone system enlisting the assistance of IT Department as appropriate.
  • Provide administrative assistance to Bastian Regional offices in planning of local events including their local Volunteer Day
  • Assist HR with execution of corporate culture building activities.
  • Assist HR with ordering and delivery of meals for BOOT camp, employee events, training events.
  • Perform additional assignments as directed.

Preferred Skills & Qualifications

  • Associate degree preferred
  • 3 years in Administrative Support or Customer Service role
  • Willingness to learn and thrive in a fast-paced quickly changing environment.
  • Strong proficiency with the full Microsoft Office suite
  • Professional level written and verbal communication skills and interpersonal abilities.
  • Motivated self-starter with a high level of commitment, ownership, and strong sense of urgency
  • Excellent organizational skills with attention to detail and an ability to prioritize work.
  • Demonstrate positive attitude, mutual respect, and teamwork among fellow employees.
  • Strong sense of customer service (servant’s heart)
  • Experience exercising discretion and confidentiality with sensitive company information.
  • Handle high stress situations while remaining a constantly reliable resource.
  • Take initiative to recognize potential problems as they arise, and independently develop viable solutions.
  • Ability to lift small packages.
