Administrative Assistant

Barkan Management Company Inc. AMO® is seeking a Property Assistant to assist the Property Manager in a three-person office with the day to day running of Potomac Club Owners Association in Woodbridge, VA.

The Property Assistant will work to provide excellent customer service and be proficient with Microsoft Word, Excel, Yardi and Outlook, strong written and oral communication skills, ability to multi-task and be self-motivated. We are seeking an individual who will maintain the highest standards and strive to exceed the client’s needs and expectations.

Essential Duties and Responsibilities:

  • Handling of telephone calls, electronic, and other forms of communication both incoming and outgoing as required from Residents, Owners, Realtors, Vendors, and the Corporate Office in a timely and professional manner. 
  • Maintain and update all Board of Director’s, Owner, Resident, Entry Gate Telephone, and other data bases. Provide updates as necessary to staff and corporate office. 
  • Assist the Property Manager in coordinating common area work orders. Process invoices as needed.
  • Maintain inventory of supplies and material for Office and Maintenance Staff. Purchase supplies and materials, as necessary.
  • Maintain Associations website. 
  • Perform general administrative/office duties, including but not limited to, filing, electronic communication, mailings, notices, and other correspondence as required.
  • Provide highest quality Customer Service, Administer Walk-ins, Updates Ownes/Tenant Information Form, Project Questionnaires, Resale Certificates, Move In/Out forms, and distribution of new resident package.
  • Process and track vendor payments on a weekly basis
  • Assist with preparation of Monthly Management Package, Minutes, Annual Meeting, Annual Report and Budgets. 
  • Other duties and projects that may be required of the Board of Director’s, the Property Manager and or Account Supervisor.

Qualifications:

  •  Prior Community/Property Management experience preferred but not necessary.
  • Ability to respond in a timely manner to resident requests.
  • Must be self-motivated.
  • Must have excellent written and verbal communication skills.
