If you’re ready to change lives, we want to hear from you. As a Hospitality House Assistant, you will have an opportunity to work with a wonderful team dedicated to helping patients. In this role you will be managing operations of the hospitality house by making reservations, managing payments/bills/deposits, taking phone calls, light housekeeping, collecting data, etc. We are looking for someone with customer service or hospitality experience who has computer knowledge. This position is onsite at NCMC Hospitality House working full-time, Monday-Friday 8:00am-4:00pm. Weekend and holiday rotations required. A 378-bed Level II trauma center and acute care facility with over 3000 employees, Banner North Colorado Medical Center is the largest hospital in the region. As a regional medical center, we provide community-based and specialty services for a service area that includes southern Wyoming, western Nebraska, western Kansas and northeastern Colorado. POSITION SUMMARY This position is responsible for independently managing the daily operations of the Hospitality House. Primary responsibilities include registration and scheduling, database maintenance, facility regulatory compliance, inventory control, monitoring budget and grant funding, and accounts payable. Other responsibilities include supervising part-time support staff. CORE FUNCTIONS 1. Performs guest registrations and room scheduling based on the individual needs of patrons, ensuring efficiency of processes; maintains accurate patron and room schedules, making appropriate adjustments when required. Verifies guests are in compliance with guest profile policies. Evaluates financial circumstances of patrons and provides for free or reduced cost stays based on individual evaluations. Resolves a variety of customer service issues between applicable stakeholders in a timely manner to facilitate a positive hospital experience. 2. Manages facility operations which may include, but is not limited to: billing, specialized processes, financial, payroll, contract management, accounts payable, human resources, supply ordering, HIPAA, OSHA, and all local, State and Federal regulatory compliance issues. Works closely with internal risk management department to assess a variety of situations in an effort to minimize financial risk to the organization. 3. Monitors department budget and outside funding source availability and utilization. Writes grants in order to obtain funding from external sources. 4. Tracks the progress of guest’s patients and outpatient treatment utilizing applicable sources of information, including continual contact with care coordinators and social workers, in order to ensure appropriate placement of guests and compliance with applicable facility guidelines. Coordinates the delivery and pickup of applicable medical equipment for patrons. 5. Manages billing and receivable processes and procedures for the facility. Prepares and tracks outstanding invoices and initiates collection activities. Reconciles cash drawer, prepares deposits, and forwards to appropriate internal department. 6. Maintains appropriate levels of materials, supplies, and inventory in order to facilitate smooth and efficient operations. Coordinates a variety of facility maintenance activities with external vendors, such as carpet cleaning service, window washing, pest control, and/or other related services 7. Assists in the development and implementation of databases designed for quality improvement and data compilation; maintains databases and implements annual updates. Prepares a variety of spreadsheets, graphics, documents, reports, and presentations. 8. Supervises the daily activities of two (2) or more part-time support staff to ensure smooth work flow and operation of the facility. Coordinates team activities and the staff-to-workload ratios to accomplish the most effective use of resources. Conduct all hiring, performance reviews, counseling/disciplinary action and termination of part-time office staff. Manages human resources/personnel issues for office staff. 9. This position is responsible for making independent decisions, within established parameters, to ensure a positive family/patient experience at the Hospitality House. Internal customers include all levels of staff in a variety of departments, including physicians and other medical staff. External customers include patients, family members, contracted physicians, health care institutions, vendors, and community providers. MINIMUM QUALIFICATIONS Thorough working knowledge of the principles and practices of customer service management as normally obtained through the completion of an Associate’s Degree in a relevant field and a minimum of three years of progressively responsible office management experience, preferably within a hospitality or health care setting. Must have excellent oral, written and interpersonal communication skills to effectively interact and provide assistance to a diverse group of individuals. Knowledge of modern bookkeeping principles and practices. Knowledge of basic budgeting principles and practices. Must have a working knowledge of personal software packages. Must have the ability to organize, prioritize and multi-task workload in a fast paced environment. Proficient use of written language in composing a variety of presentations, policies, procedures, and other applicable communication pieces. Skilled in solving problems in order to facilitate the communication network between patient and hospital. Skilled in maintaining composure and professional demeanor in difficult and stressful situations. PREFERRED QUALIFICATIONS Additional related education and/or experience preferred.
