At Aviara Centers, we look at the root causes of our patients' symptoms or diseases to help them find integrative solutions for whole-body health. Our integrative team of providers include orthodontists, sleep & TMJ dentist, myofunctional therapist, holistic pediatric dentists, tongue-tie specialists, SOT chiropractor, MMT physical therapist, CFT, & oral surgeon! Our goal is to bridge the gap between dentistry and medicine to help our patients Breathe, Live, and Smile!

We are seeking a Front Office Administrative Assistant who loves to smile, possesses a can-do attitude, is highly organized and desires to be a part of the growth of our integrative medical and dental center.

The candidate will be responsible for making sure that every phone call and appointment is a positive experience for all of our patients. The applicant will be trained to assist as needed with administrative, marketing and clinical duties to optimally support the team, providers and patients at Aviara Centers. This position will require the applicant to insure that the patients' calls, emails and texts are addressed on a timely basis, the intake forms are completed accurately, the charts are completed each day, reports are created and sent to referring providers on a timely basis, treatment plans are created and presented professionally. The ideal candidate will foster an environment that improves efficiency and productivity by optimizing patient flow, delivering outstanding customer service, and increasing patient satisfaction.

Days: 5 Days (Full Time)

Requirements And Skills:

· Embrace and support Aviara Providers' airway-centered approach with patient education

· Greet patients as they arrive at Aviara Facilities.

· Project a positive and caring demeanor on the phone or in person

· Review Dr Chrono & Dolphin (EHR) and oversees daily schedules for providers within a multispecialty setting.

· Make appointments for patients according to Aviara’s scheduling policy; confirms appointments; follow up with “no shows” according to the clinic’s no show policy.

· Register patients in EHR software (verifying and updating name, address, phone numbers, insurance status, etc.); corrects any registration errors.

· Assist patients over the phone or email with Aviara online registration forms.

· Check with the insurer to verify the patient is covered by insurance, and requests benefits and eligibility for the services to be provided. Checks to determine the patient’s copayment responsibility.

· Assist patients in completing and/or updating dental & medical history, consent and financial forms, if necessary.

· Check out the patient; collects outstanding balances on patient accounts and schedules for follow-up appointments.

· Make reminder calls and text messages to patients with upcoming appointments.

· Reconcile daily payments and performs account audits to ensure patients accounts are up to date.

· Perform document organization (consolidation, scanning, reporting & shredding) and other clerical duties.

· Manage inventory of non-clinical office supplies; orders and restocks as necessary.

· Help patients with referrals when necessary.

· Assist with setting up/breaking down operatories.

· Present treatment plans and educational information (Training will be provided

· Support clinical and administrative team members as needed when needed and as time permits.

The following skills are a plus:

· Knowledge of Sleep, TMJ, Orthodontics, Chiropractics, Physical Therapy, Myofunctional Therapy

· Experience with Eaglesoft, Dolphin, and/or Dr. Chrono softwares

· Proficient in sales, case presentation and case acceptance skills

Job Type: Full-time - Non-Exempt. Competitive salary and benefits package. Benefits include paid holidays when they fall on a normal workday, paid personal time off, paid sick time, medical stipend, and in-house dental coverage.

Pay: Range of $20.00 - $25.00 per hour; the final pay rate will be determined by the amount of experience and qualifications the applicant presents with.
