Automated Industrial Systems Erie LLC is Hiring an Accounting and Sales Administrative Assistant Near Erie, PA

Join our dynamic team!! AIS – Automated Industrial Systems, LLC is a leading provider of specialized custom machines located in Erie, PA. We are committed to delivering exceptional solutions and services to our clients across multiple industries worldwide. As we continue to grow, we are seeking a motivated and detail-oriented individual to join us as an Accounting and Sales Administrative Specialist.

Responsibilities:

  • Assist in managing day-to-day accounts receivable.
  • Assist in reconciling account receivables, resolving discrepancies, and following up on outstanding issues.
  • Provide administrative support to the accounting department, including filing, data entry, and document management.
  • Prepare and distribute account receivables and aging reports.
  • Manage client accounts, including invoicing and ensuring timely payment collections.
  • Maintain accurate records of transactions and client interactions using our CRM system.
  • Serve as a key point of contact for client visits, providing excellent customer service and recording proper documentation.
  • Field customer phone calls including customer service inquiries.
  • Assist the sales team in managing customer accounts, including processing orders, preparing quotes, and maintaining accurate records of sales transactions.
  • Perform general administrative tasks such as managing calendars, scheduling meetings, and maintaining files and documentation.

Qualifications:

  • 3 Years of previous experience in accounting, finance, administrative, sales support, and customer service roles preferred.
  • Demonstrated integrity and trustworthiness, with a clear background and no history of ethical or legal issues.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) accounting, and CRM software.
  • Excellent communication skills, both verbal and written, with the ability to interact professionally with clients and colleagues.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Detail-oriented mindset with a high level of accuracy in data entry and record-keeping.
  • Ability to work independently as well as collaboratively within a team.
  • Positive attitude, proactive approach, and willingness to learn and grow in the role.
