Role Overview: We are looking for a self-starter who is bright and motivated to both support and lead operational and creative efforts for the Company. Ultimately, a successful candidate would be an integral part of a small team and would ensure the efficient and smooth day-to-day operation of our office, with significant opportunities for growth and advancement. A passion for diamonds/gemstones, fine jewelry, and all things sparkly a HUGE plus!

Key Responsibilities:

Operational duties

• Providing world-class service to retail partners through multiple contact channels, including answering phones, emails, and inbound requests with a high level of professionalism.
• Working with and learning about diamonds/gemstones/pearls/finished jewelry and providing support utilizing our ERP software for data entry, customer service, order fulfillment and tracking, customer invoicing, product shipment, payments, and other customer transactions.
• Collaborate with and assist customer service and production teams with wide spectrum of tasks including inventory management and product tagging, and running daily errands to jewelers, stone cutters, setters and other wholesale dealers
• Execute general office tasks such as ordering front office supplies, filing/copying, faxing, transcribing, handling incoming/outgoing mail, and ensuring office cleanliness.
• Help ensure smooth and sufficient preparation for industry events and trade shows
• Handle all shipping and handling of daily outgoing packages. Open & inspect all incoming packages and coordinating them with sales team
• Greet and welcome guests as soon as they arrive at the office. Maintain office security by following safety procedures and controlling access via the reception desk
• Seek ways to consistently improve the customer experience while adding value to our brand, office culture and business processes

Support the Creative and Marketing Team In: (Optional but not required - is a plus)

• Photographing and photo-shopping all inventory, updating and maintaining internal inventory cataloging database
• Preparation of monthly product/company emails and marketing and brand materials
• Website upkeep (product description/photos, landing pages, collection banners, etc.)
• B2B social media (content creation and engagement across Facebook, Instagram, LinkedIn)

Qualifications:

• Strong computer skills with an ability to learn new software, and experience with all Windows based systems. Ability to use Microsoft Office and DropBox at a high proficiency level.
• Adobe Cloud Proficiency, Social Media and DSLR Photography Experience is optional but a plus! (for creative support)
• Strong value system of honesty, quality work products and trustworthiness (“safe pair of hands”)
• Self-starter with an interest in growing personally and professionally within a dynamic organization, and an interest in a position that is positioned for growth within the company

Experience:

• Previous experience or demonstrated interest in the jewelry industry is a plus, but not required.
• Past experience in operational and/or creative/marketing support (minimum of 1-3 years work experience in an office environment)
