Aurora Cellars is Hiring a Special Events Assistant Near Lake, MI

THIS IS A SEASONAL POSITION WITH PART-TIME HOURS APRIL-OCTOBER.

About Us: Aurora Cellars is a boutique winery located in the heart of the Leelanau Peninsula. We offer an upscale tasting room experience, host elegant vineyard weddings, and produce award-winning wines. Our team works in unison to create a memorable and elevated experience for guests to enjoy and learn about our wines, the Michigan wine industry, and the area at large.

Job Summary:

Special Event Assistants work with a variety of wedding couples and business event planners from April through October acting as those clients’ main contact at Aurora Cellars on their event weekend. The Special Event Assistant will work with wedding couples and their vendors to ensure that the venue is in five star condition for the day of their event. The Special Events Assistant will need to communicate with couples about their ceremony and tent design, collect their timeline plans and vendor contact list, and do a property walk through the day prior to the event to ensure it is ready for the event. Special Event Assistants often leave around dinner time when the Venue Closers takes over for the remainder of the evening, though Special Event Assistants will occasionally need to close down their own wedding or event. Event Assistants will work with anywhere between 3-4 clients at a time depending on the season. A typical season includes between 20-35 events ranging in size. Working Thursdays-Saturdays while in event season will be required.

Job Duties:

  • Communicate with clients via phone, email, and meetings
  • Accurately log all communication with clients
  • Review and communicate event information in detail with planners and couples
  • Meet couples for property review the day prior to the wedding
  • Coordinate venue logistics with planners for weddings and occasionally corporate events
  • Present information to all departments concerning upcoming events during meetings
  • Cross-train in alternate departments to assist on an as-needed basis
  • Assist with office organization and updating documents
  • Assist in executing Aurora Cellars events as assigned
  • Communicate event details to Events Sales Director and Tasting Room manager prior to event
  • Communicate with contracted businesses to ensure the property in maintained and to make the best possible presentation
  • Work with Director of Events Sales and venue maintenance to make sure seasonal and weekly tasks are take care of to showcase a five star venue
  • Organize and order all necessary venue supplies on a weekly and as needed basis
  • Perform other duties as assigned

Education and/or Experience:

  • High School Diploma or General Education Degree (GED), required
  • Prior experience (1 year) in weddings or events industry, preferred
  • Prior experience (1 year) in customer service, preferred

Working Conditions:

Shared office space with the Event Sales Director. Desk, office phone, and laptop computer. Office days usually comprise of desk work while event days will involve indoor/outdoor environments and you will be on your feet for much of the 8-10 hour shift.

Schedule:

  • 4-6 hour shifts on Thursdays, 8-10 hour shifts on Friday and Saturday
  • 15-20 hours per week April through October

Experience:

  • Wedding or event experience: 1 year (Preferred)
  • Customer Service and Hospitality experience: 1 year (Preferred)

Pay: $17.00 - $18.00 per hour

Expected hours: 15 – 20 per week
