Position Overview
The Audrey Irmas Pavilion is seeking an experienced Event Assistant to support production of meetings, programs and special events, as well as support a cross functional event sales plan that will promote the Audrey Irmas Pavilion as a premier event space to clients.
Duties and Responsibilities
● Provide exceptional customer service
● Support operations of meetings, programs and special events for clients in a manner that furthers the Audrey Irmas Pavilion’s mission statement
● Communicate with vendors regarding event specifications during load in and load out ensuing each vendor adheres to AIP guidelines and policies
● Create and distribute information to appropriate support departments as needed
● Liaison between client, support teams, and onsite caterer to ensure all production needs are met
● Responsible for solving any production issues that may arise at any given point in the event timeline
● Oversee the load in and load out of meetings, programs and special events
● Develop and foster relationships with vendors, support teams, on site caterer, clients, and other important personnel to ensure streamlined communication and successful execution of each event
● Oversees general repair and maintenance of production equipment. Responsible for safe and consistent operation of all equipment, performs proper cleaning, maintenance repair, and inventory on all production equipment. Create and maintain inventory and maintenance log
● Enforce deadlines while maintaining professionalism with our clients and vendors
● Perform other duties as necessary and relevant
● Work evening and weekend hours as needed to facilitate events and provide back-up assistance
Specific Requirements
● Bachelor of Arts degree desired: in Hospitality, Convention Service Operations, or related field preferred
● Minimum of (2) years of event production experience with a proven track record in event production oversight
