Auburn Public Schools is Hiring an Accounts Payable an Business Assistant Near Auburn, MA

Reports to:Business Manager/ SuperintendentResponsibilities:To oversee the administration of the district’s accounts payable and business functions, to provide general assistance and support to the Business Manager.Essential Functions: •compiles and coordinates essential and confidential data for action by Business Manager or Superintendent•transmits and explains Business Manager’s requests to appropriate persons, and follows up for compliance, completeness, and conformance with deadlines•assists Business Manager in budget preparation•enters the annual non-personnel budget•enters invoices for payment in the system, verifies and balances batch entries•prepares warrants for School Committee, Town Treasurer and Chief Financial Officer•prints financial and vendor reports, as needed •computes and records cash receipts summaries•balances financial accounts with the Town’s Chief Financial Officer•manages purchase orders•working knowledge and understanding of M.G.L. c. 30B, purchasing supplies and services•prepares journal entries•serves as grants bookkeeper, processing payments and financial reporting to DESE•prepares account analyses as it pertains to grants, and local budgets•assists employees with questions and concerns•assists with the coordination and compilation of data from schools•provides general administrative support, as needed•assists Business Manager in training employees, to include the computer system and all other pertinent functions•generates bills for the community’s or outside groups’ use of buildings for ongoing activities -- basketball, volleyball, etc.•orders office supplies•serves as payroll clerk in absence situations•performs other duties, as assigned Ability to:•maintain a positive attitude toward the job, the students, and the staff•appropriately and effectively communicate with co-workers, teachers, administrators, students, parents and the general public•respect the values of confidentiality and integrity•work independently, organize, and use time effectively•conduct oneself in a professional and ethical manner•work cooperatively with others•establish and maintain effective working relationships with other employees and the public•be punctual and regular in attendance•perform all duties promptly, accurately, and effectively as assigned or directedKnowledge of:•MUNIS or other accounting software package(s) utilized by the Business OfficeEvaluation:Performance of this job will be evaluated in accordance with the Accounts Payable and Business Assistant ContractQualification Requirements:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Regular and consistent attendance is essential for this position.Education and/or Experience:The skills and knowledge required would generally be acquired with a high school education and three years’ experience of increasingly responsible fiscal and purchasing experience or with an Associates Degree in Business Administration, Accounting, or some closely related field. Knowledge of computers and business software essential.Reasoning AbilityAbility to read and interpret documents such as bid specifications, contracts, and more complex business and financial reports. Ability to write reports and correspondence.
