Job Description :

We are currently seeking a highly organized and self-motivated Office Administrator to join our expanding organization. This pivotal role will contribute significantly to our company's customer service excellence and overall organizational strength.

The Office Administrator will be responsible for delivering top-tier administrative support, welcoming and directing visitors, and efficiently handling phone calls and emails.

Ideal candidates will possess exceptional verbal and written communication skills, adept multitasking abilities, and a warm and professional demeanor.

Requirements

Responsibilities :

  • Welcome visitors and provide general assistance as needed.
  • Oversee office activities and operations to ensure efficiency and adherence to company policies.
  • Conduct clerical tasks, such as filing, phone call management, email responses, and document preparation.
  • Monitor incoming and outgoing mail, receiving and signing for mail / packages from couriers, and distributing them to the appropriate recipients.
  • Manage schedules, travel arrangements, appointments, and more for upper management.
  • Maintain and oversee office equipment, inventory supplies, and procure replacement supplies as required.
  • Coordinate building and maintenance issues for general repair and updates.
  • Act as a liaison with executive and senior administrative assistants to address requests and inquiries from senior managers.
  • Organize special functions and social events.
  • Provide administrative support for operations team and assist other departments and colleagues, as needed.

Qualifications

  • At least 2 years of relevant experience in an office environment, with a preference for administrative experience.
  • Exceptional ability to prioritize, multitask, and meet deadlines in a fast-paced environment.
  • High degree of accuracy and attention to detail.
  • Intermediate to advanced 10-key and data entry skills.
  • Problem solving skills.
  • Ability to work efficiently with a team.
  • Familiarity with general office equipment.
  • Excellent written and verbal communication skills, with a customer service-oriented approach.
  • Ability to complete complex administrative tasks with minimal supervision.
  • Willingness to learn and to grow with the company.
  • Proficiency in both English and Mandarin or Spanish is preferred.
