Title: Service Admin Assistant - Located in Midland, Located near Charlotte. Status Non-Exempt
Purpose and Scope:
To maximize business processes by providing high quality customer care via telephone communications, and other administrative customer & service department orientated functions.
Responsibilities:
· Assist customers with scheduling of service problems and/or maintenance
Provide direct assistance to service manager and technicians
· Work alongside Sales team to assist with scheduling and resolution of customer concerns / issues
· Answer incoming phone calls for service
· Data entry
- Open work orders
- Issue purchase orders
- Receipt in vendor invoices
- Submit invoices to AP for payment
- Maintain the monthly credit card statement (assuring receipts are received and PO’s generated)
- Process weekly expense reports for the service department (creating, receipting invoices, and submitting to AP for reimbursement)
· Must have strong organizational and multi-tasking abilities
· Participate in all software, equipment, and/or customer care training
· Complete assigned projects
· Any other duties assigned by management
Job Requirements:
· Customer service background/knowledge
· Suitable skills in MS Excel, Word & Outlook required. MS Teams experience is a plus
· High school diploma or equivalent required
Education/Training Requirements:
· Proven prior experience in a customer service environment
· Experience with a computerized service/parts management system is preferred
Abilities/Skills:
· Ability to communicate in a professional and courteous manner with customers and co-workers
· Ability to multitask, be flexible and adaptive in a fast-paced environment
· Must be organized and able to make quick effective decisions

Hours:
Monday thru Friday
7:30 am-4:30 pm (1 hour lunch)
