Atlantic Group is Hiring a Receptionist Near Darien, CT

The Atlantic Group has partnered with an investment management firm in the Darien, CT area. They have an immediate need for a Part-Time Receptionist / Office Manager to join their team.

Position Description :

This company is searching for a polished, energetic, engaging and highly motivated part-time Receptionist and Office Manager, to join its team in its Darien office to help run the office and support the team with projects and administrative tasks.

The ideal hire is someone that has a no task is too small or too big mentality, and will be collaborative, flexible, and extremely organized.

Additionally, the candidate will have a good energy about them, be detail-oriented, pro-active and have a positive and engaging personality.

They must enjoy interacting with people and demonstrate an ability to maintain composure and problem-solve while multi-tasking in a fast-paced environment.

Work Schedule : 20-25 hours a week. Must be in the office on Mondays, other days are flexible.

This position will report to the Director, Corporate Administration and be responsible for :

  • Welcoming employees and guests and providing assistance as needed;
  • Answering all incoming phone calls, directing inquiries and handling all calls whether urgent or not with the utmost professionalism, tact and good judgement and taking messages and relaying them to the appropriate person;
  • Handling all outgoing deliveries, couriers and mail services and managing the company FedEx account;
  • Sustaining a neat, organized, well-equipped and safe reception, kitchen and overall office space;
  • Preparing boardrooms for meetings with audio visual equipment and maintaining meeting room bookings;
  • Organizing office catering for breakfasts and lunches, including ordering, setting up and cleaning up of the boardrooms;
  • Ordering and stocking the office and kitchen supplies, tracking inventory and creating supply lists for ease of re-orders;
  • Managing vendors, monitoring and maintaining office equipment; inventory supplies and order replacement supplies as needed and ensuring everything is in good working order;
  • Maintaining a safe and secure working environment by following Company policy and local health and safety requirements;
  • Managing and reconciling the office expenses, proficiency with ExpensePoint an asset;
  • Maintaining and organizing files and documents;
  • Archiving and scanning documents to maintain digital filing system;
  • Coordinating and communicating with the reception, information technology and accounting teams in the other offices;
  • Liaising with building management for security requests, visitor passes and facilities management;
  • Helping to support the team with administrative tasks such as calender management, travel arrangements, entertainment, reservations and managing expenses;
  • Event planning management; and
  • Ad hoc requests and projects as needed.

Position Requirements :

  • College diploma or equivalent
  • Minimum of 3 years of corporate administrative experience
  • Technology proficient
  • Excellent knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint and Teams)
  • Strong organizational skills and attention to detail
  • High level of discretion
  • Exceptional telephone and written communication skills
  • Comfortable in a multi-support role
  • Ability to work independently as well as part of a team
  • Good energy, detail oriented and a positive and engaging personality
  • Enjoy interacting with people and clients
  • Ability to maintain composure and problem-solve while multi-tasking in a fast-paced environment
  • Proactive and high emotional intelligence
