Atlanta Medical Institute is Hiring a Medical Office Manager Near Atlanta, GA

We are looking for a qualified medical office manager to run our medical facility. You will be responsible for day-to-day operations. As a medical office manager, you should demonstrate excellent organizational skills and the ability to perform well in stressful situations. Our position requires knowledge of healthcare systems operations. Medical coding and billing are a plus. Ultimately, you should be able to ensure steady workflows and uninterrupted service in our medical facility.

This position supports a wide range of human resource functions by providing front-line response, oversight of daily non-clinical practice operations, and the patient flow of the designated practice. The Medical Office Manager engages in leadership decisions to ensure the continued delivery of high-quality patient care and engagement while maintaining a state of profitability, growth, and compliance with governmental regulations. This position is responsible for managing office administrative personnel, engaging with office medical staff personnel, and working closely with the medical providers to fulfill their vision of the practice. In addition, this position will perform front office duties typical for a medical office. As a medical office manager, you should demonstrate excellent organizational skills, problem-solve efficiently, work independently, stay calm under pressure, and show initiative towards tasks.

Experience/Qualifications

  • Three (3) years of experience in a healthcare setting with at least two (2) years of lead or supervisory role preferred.
  • Associate or bachelor’s degree preferred in healthcare administration, business, or related field required, or equivalent combination of education and experience.
  • You will report directly to the CEO and owner of the company.
  • Detail-oriented and organized.
  • Microsoft Office: 3 years (Required); EMR experience and proficiency.

Responsibilities

  • Policies:
  • Follow daily protocol and update owner on daily status of staff, revenue, and status.
  • Ensure compliance with current healthcare regulations, medical laws, and ethical standards.
  • Ensures compliance with all federal, state, and local regulations related to medical practice operations.
  • Ensures compliance with HIPAA, OSHA, labor laws, and confidentiality policies in dealing with customers and staff.
  • Manage office policies and procedures.
  • Operations:
  • Responsible for the day-to-day operations of the medical practice, managing front office staff, assessing workflows, and reassigning staff roles as determined by current practice needs while respecting their hiring contract.
  • Performing administrative tasks to ensure a smoothly run office.
  • Supervises and ensures adherence to company culture, policies, procedures, and standards regarding quality assurance, customer service, registration, financial counseling, productivity, confidentiality, data entry, record retention, charting, billing and collection, cash posting, and the physical facility.
  • Recommends and develops new approaches, policies, and procedures to continually improve the efficiency of the practice and the services performed while maintaining a high level of patient satisfaction.
  • Proficient in Microsoft Office and other office software, including EMRs.
  • Oversees appropriate scheduling of customer visits and smooth, efficient clinic flow to maintain financial integrity and stability of the practice operation.
  • Strong organizational and time-management abilities.
  • Ability to work independently and as part of a team.
  • Patient support:
  • Greeting patients, helping them complete their paperwork, and scheduling follow-up appointments. Patient care is our top priority!
  • Provide informative material for patients.
  • Ensuring new patient paperwork and financial agreements are completed upon admission.
  • Excellent customer service skills
  • Staff:
  • Aid and assist MD, PA, and chiropractor (as well as other support staff when necessary).
  • Supervise office staff.
  • Assists in the recruitment, onboarding, performance evaluation, and offboarding process of staff to build and maintain a high-performing team.
  • Assist with recruitment, interviewing, and hiring of team members.
  • Review, correct, and approve employee timecards.
  • Monitor employee performance and provide performance feedback regularly.
  • Develops and maintains productive relationships through effective and timely communication.
  • Motivate staff to increase production and maximize their potential.
  • Experience delegating and supervising office tasks for staff.
  • Responsible for holding staff accountable for data accuracy and productivity, efficient workflow, measuring indicators, and analyzing processes to improve practice performance.
  • Communication
  • Ability to communicate with people with various levels of medical knowledge in both written and verbal forms.
  • Handles patient complaints and resolves issues in a timely and professional manner.
  • Excellent communication and interpersonal skills.
  • Meetings
  • Coordinates regular and recurring internal staff meetings.
  • Inventory:
  • Generate inventory records, and order medical and office supplies.
  • Keep inventory of necessary office supplies.
  • Keep budgetary issues in mind when placing orders or purchasing supplies.
  • Weekly purchase of supplies if approved and deemed necessary.
  • Billing:
  • Medical coding and billing
  • Ensure client payments are maintained and up to date.
  • Works with clinicians to ensure paperwork is completed for insurance billing.
  • Finance:
  • Maintain accurate patient records, and collections data, reconcile collections, daily deposits, and supporting documentation.
