Description:

Responsibilities of this position are to support the Director of Communications, Principals and other staff members in the business development efforts as follows:

• Provide administrative, graphic design and communication support
• Maintain professional appearance at all times in order to provide support in consultant and/or client meetings or outside activities on an as needed basis
• Prepare statements of qualifications and project proposals and update materials as directed
• Renew/update business organization certifications/subscriptions/memberships, etc.
• Support interview preparation process, develop content and produce materials as directed
• Support referendum communication process as directed
• Contact clients and consultants for information supporting business development and communication activities
• Manage schedule of outside marketing activities and attendance by Director, Principals and Associates
• Maintain advertising program, update ads
• Request/remit checks for all networking/advertising, and other marketing events
• Schedule and coordinate all annual major marketing conferences including booth arrangements, hotel and travel arrangements, giveaways, etc.
• Maintain/update database daily with periodic updates to Support Services Department
• Scan newspapers for relevant research on a weekly basis
• Produce mailings on a monthly basis
• Responsible for SSP website updates and maintenance as needed
• Maintain/filing system of marketing materials
• Answer switchboard as back-up and other general office duties as necessary

Must be able to prioritize workload and exercise independent judgment and initiative; ability to multi-task and work in fast-paced, deadline-driven environment; be self-starting and highly motivated; have the desire to perform at highest levels of achievement (professional and personal); be organized & detail-oriented; possess excellent written and oral communication skills; possess strong MS Office skills; be proficient in Photoshop, PowerPoint, PageMaker, and ACT software; and have thorough knowledge of organization of firm. Must maintain a neat and professional appearance at all times. Previous experience in professional services or engineering firm required.
