Associated Fire Protection Inc is Hiring an Accounts Receivable Associate Near Paterson, NJ

Description

Associated Fire Protection is looking for a highly organized Accounts Receivable Associate to manage and oversee the accounts receivable, credit and collection process, and support the company's general accounting needs. While this position is based out of the Paterson, NJ location, there may be opportunities to work remote. 

Essential Functions to include but are not limited to:

Accounts Receivable:

  • Manage and oversee the accounts receivable process to ensure positive cash flow. 
  • Review requests for new credit terms and adjust credit amount based on issues that arise. 
  • Work with the accounting team to ensure that all customer payments and transactions related to accounts receivable are properly posted, verified, and recorded. 
  • Periodically review the accounts receivable process to ensure that it is run efficiently. 
  • Periodically review invoices for accuracy and completeness. 

Collections:

  • Manage and oversee the collection process.
  • Create and generate invoices as well as reports to review and collect overdue accounts. 
  • Research customer discrepancies and past-due amounts with the assistance of various staff members to resolve billing/invoice inquiries, discrepancies, questions, issues, etc. 
  • Draft correspondence for standard past-due accounts and collections, identify delinquent accounts by reviewing files, and contact delinquent account holders to request payments. 
  • Liaise with counsel to place liens and initiate other legal actions to collect on debt. 

General:

  • Assist accounting manager in reconciling revenue accounts and accounts receivable balancing each month. 
  • Assist accounting department with all general accounting functions as needed. 
  • Comply with federal, state and company policies, procedures and regulations. 
  • Communicate effectively with customers, vendors, employees and other correspondences both orally and in writing. 

Requirements

Knowledge and Education

  • Knowledge of economic and accounting principles and practices; knowledge of administrative and clerical procedures. 
  • High school diploma or equivalent required. 
  • Associate's or BA degree in Accounting required, but equivalent combination of education and/or experience will be considered. 

Additional Requirements/Experience including but not limited to:

  • Excellent customer service skills are required.
  • Excellent computer skills are required.
  • Excellent attention to detail is required. 
  • Excellent organizational and communication skills are required. 
  • Excellent mathematical skills, including but not limited to the ability to add, subtract, multiple, divide or perform various other mathematical functions quickly and correctly, is required. 
  • At lease two years of previous related experience is required. 
  • Must have experience making collection calls and working with co-workers to make sure that all collection calls are made. 
  • Must have experience working with Microsoft Office, in particular, Word, PowerPoint and Excel. Knowledge of QuickBooks is a plus.
  • Experience with additional general accounting functions preferred but not required. 
  • Must be able to pass pre-employment physicals, drug screenings, and any applicable background checks/screens.
  • Employee will have access to company financials - must display qualities and characteristics of a trustworthy employee. 
  • Attitude and actions are in line with company's mission statement, vision and values. 
  • Must be able to understand, and comply with the company's safety and employment policies and procedures.

  • While performing the responsibilities of the accounts receivable associate, the employee is required to work in an office setting. There may also be opportunities to work remotely.

  • The employee is often required to type at a computer for long periods of time.
  • The physical requirements are described light .
  • The position has occasional periods of stress. 
  • Constantly works with others and has customer/public contact, occasionally works alone.
