Position Title: District Office Receptionist & Spanish Translator

Department: Aspen School District

Reports to: Assistant Superintendent

Classification: Classified Full-time Non-exempt/Hourly

Contract Period: 12 Month (233 days with some variance depending on the year)

Position Summary

The Receptionist & Spanish Translator Administrative Assistant I position supports and represents the school district and its day-to-day operations; and provides assistance within the school office to ensure and maintain a positive and helpful environment for students, staff and visitors.

Position Responsibilities

Receptionist & Spanish Translator Administrative Assistant I Responsibilities:

  • Serves as receptionist for the district administration building, including answering phones, opening the entrance door, screening and assisting visitors.
  • Maintains office organization by managing mailboxes, updating directory, and assisting with ordering supplies for the office.
  • Maintains a variety of computerized and manual records, files, and department databases (e.g. information packets, rosters/listings, calendars, outstanding supply orders, etc.) for the purpose of documenting activities, providing reliable information and complying with district, state and federal requirements.
  • Assists in planning, preparing, and setting up for meetings and events.
  • Monitors assigned department/program activities (e.g. purchase orders, extra duty submissions, sending of PD training certifications, office machine operations, etc.) for the purpose of ensuring completion in compliance with established financial, legal and/or administrative requirements.
  • Maintains front office materials (e.g. district radios, Lost and Found, badges, etc.).
  • Fingerprints/clears incoming volunteers
  • Assigns employee and visitor badges and maintain Raptor badging system
  • Provide oral and written Spanish translation assistance as requested
  • Attends Board Meetings as a fill-in for the Executive Assistant.
  • Sends out communications from administrative officers as needed.
  • Performs all other related duties as assigned or requested by the administrators

Required Knowledge, Skills, and Abilities

  • Knowledge of:

    • Principles and procedures of record-keeping
    • Basic office procedures
    • Word processing, databases, and computer software
    • Microsoft Office and/or the Google Suite of office software

    • Operate and use modern office equipment including a computer and various software packages 
    • Communicate clearly and concisely, both orally and in writing
    • Establish and maintain effective working relationships with those contacted in the course of work

    • Act consistently in ways that directly support the mission of the Aspen School District
    • Bilingual English and Spanish 
    • Formulate goals that reflect the organization's strategic theme and include specific, measurable outcomes instead of just completing activities;
    • Contribute actively to the goals and success of the District l through collaboration, cooperation, and flexibility (give and take) in team discussions, activities, and decision making;
    • Maintain high ethical standards, legal responsibility, and confidentiality.

Minimum Qualifications

  • High School diploma or equivalent
  • One to three years of relevant office and reception experience
  • Operation and use of modern office equipment including a computer, printer/copier and various software packages 
  • Bilingual Spanish 
  • Valid Colorado driver’s license or the ability to obtain one within 30 days of hire. 

Preferred Qualifications 

  • Three years or more of relevant experience in public education (preferred), government, or other public sector settings.

Work Environment

  • Office environment and reception; exposure to computer screens
  • Primary functions may require maintaining the physical condition necessary for sitting for prolonged periods of time; use of a computer keyboard

Essential Physical Requirements

  • Physical: Reaching, walking, standing, sitting, typing, talking, stooping, kneeling, seeing, and hearing. Lifting up to 25lbs.
