Aspen Art Museum is Hiring a Chief Operating Officer Near Aspen, CO

CHIEF OPERATING OFFICER ASPEN ART MUSEUM

The Aspen Leadership Group is proud to partner with Aspen Art Museum in the search for a Chief Operating Officer.

The Chief Operating Officer will provide the leadership, management, and vision necessary to ensure that the Aspen Art Museum has the proper operational controls, administrative and reporting procedures, and people systems in place to effectively grow the organization and to ensure financial strength and operating efficiency. The Chief Operating Officer will support the work of the Nancy and Bob Magoon Director and the Board of Trustees as a key player in driving the execution of AAM's five-year plan, ensuring that interim milestones are met with a focus on improving efficiency and interdepartmental collaboration.

Accredited by the American Alliance of Museums in 1979, the Aspen Art Museum opened its facility designed by Pritzker Prize winning architect Shigeru Ban in 2014. Since, the Museum enjoys increased attendance, renewed civic interaction, and international media attention. In July 2017, the Museum was one of ten institutions to receive the United States’ National Medal for Museum and Library Services for its educational outreach to rural communities in Colorado’s Roaring Fork Valley and its learning partnerships with civic and cultural partners within a 100-mile radius of the Museum’s Aspen location.

REPORTING RELATIONSHIPS

The Chief Operating Officer will report to the Nancy and Bob Magoon Director, Nicola Lees.

PRIMARY RESPONSIBILITIES

Finance and Development

The Chief Operating Officer will oversee the financial department (financial controller and financial analyst). They will also meet with all departmental managers to oversee all budgets, income, and expenditures. They will help us grow our earned income strategy and lead this team (Events, Cafe, Shop). In their operational role, they will also manage the HR consultant, Security and Facilities, and the IT department.

Strategy and Long-Term Forecasting:

  • Partner with the Nancy and Bob Magoon Director, Financial Controller, and Finance Committee of the Board of Trustees to establish and approve annual operating budgets and presentations as well as a three-year financial plan for the organization and endowment;
  • provide regular financial management reports with the Financial Controller to the Director, Finance Committee and full Board of Trustees on the financial health of the organization;

Day to Day:

  • Work with the Nancy and Bob Magoon Director, Financial Controller, Chief of Staff and Director of Development to develop and implement long-term business and financial planning for the organization and manage oversight of performance across museum departments - including short- and long-term financial goals and cash flow analyses;
  • Prepare, analyze and present timely and accurate financial reports, as well as maintain the accuracy and integrity of the financial systems.
  • Interface with management to ensure compliance with established budgets, forecast budget variances and develop long-range financial plans as well as monitor and anticipate cash flow requirements and investment activities.
  • Manage and execute the daily operations of the Museum’s Finance Department including General Ledger, Accounts Payable, Payroll and Cash disbursements. Submit bi-weekly and semi-monthly payrolls and ensure accuracy of all payroll information;
  • Maintaining accounting control over the Museum’s restricted, board-designated, and endowment funds;
  • Assure that the organization is in compliance with all state and federal laws with regard to financial practices and filings and reporting requirements;
  • Coordinate the annual audit and issuance of annual financial statements;
  • Administer employee compensation and benefits.

Interdepartmental Support:

  • Manage the museum's property portfolio, and create a five-year plan for employee housing/ staff leases with the Housing Sub-Committee of the Board of Trustees;
  • Identify and mitigate institutional risk by maintaining adequate insurance coverage and administering contractual relationships;
  • Support the Director of Development with the administration of large gifts as well as contracts with sponsors and partnerships;
  • Support the Director of Exhibitions with touring contracts, publications contracts, and art insurance.
  • Support all departments for Grant Reports, ensuring all financial information for the completion of these documents are provided in a timely manner.

Earned Revenue:

  • Develop and execute business plans around earned income goals for both AAM Shops and AAM Rooftop Café; making sure these endeavors are connected to the strategic plan and greater vision for the institution;
  • Hire, supervise and manage finance and administration across all earned income department including: café, shop, and operation employees and operations;

Human Resources

  • Build an organizational employee culture focused on the mission, vision, and core values developed with the Nancy and Bob Magoon Director;
  • Work closely with the Human Resources Officer and on appropriate human resource policies, procedures, compensation philosophy, and compensation levels;
  • Work with our Human Resources Officer and Executive assistant to oversee:
    • all recruitment, hiring, termination, and onboarding practices as well as oversee all training and employee development functions to foster employee retention and job satisfaction;
    • all employment records including proper upkeep of personnel files and the Bamboo system;
    • all employee benefits including the type of benefits offered and benefit providers;
  • Work with the Chief of Staff and Director of Education to manage all Diversity, Equity, Access, and Inclusion programs.

Operations and Facilities

  • Develop, implement, and evaluate plans for the operational infrastructure of systems, processes, and staff to promote AAM’s culture and support organizational objectives;
  • Support the Chief of Staff in managing the schedule and drive deadlines in the planning and production of materials for Board and Board Committee meetings
  • Establish and monitor policies while producing and updating policy manuals to ensure that they meet legal standards;
  • Manage the Guide Team and Security Team as well as gathering and managing data to inform annual projections;
  • Manage building and fine art insurance packages;
  • Evaluate performance by analyzing and interpreting data and metrics;
  • Direct and handle legal matters for the organization nationally including trademarks, liability, nonprofit law, and employment issues;
  • Work with location leaders to develop and execute annual program plans; and
  • Take on special projects as assigned by the Director.

PREFERRED COMPETENCIES AND QUALIFICATIONS

Aspen Art Museum seeks a Chief Operating Officer with

  • A commitment to the mission of Aspen Art Museum – to present the most important evolutions in international contemporary art;
  • Previous CFO experience as well as strong verbal and written communication skills;
  • Excellent financial management skills; and fluency in financial reporting and softwares
  • Strong leadership and interpersonal skills and the ability to interact and communicate professionally with individuals at all levels of the organization;
  • An ability to clearly articulate the Aspen Art Museum's mission and strategies to a broad range of people;
  • The capacity to apply independent judgment in planning, prioritizing, and organizing multiple tasks in a diversified work load;
  • A highly detail-oriented, organized, and motivated temperament;
  • Strong intellectual curiosity;
  • Discretion and sensitivity in handling and safeguarding confidential information;
  • Fluency in written communication, including proofreading and editing;
  • Superb administrative skills including the use of MS Word, Excel, PowerPoint, and Outlook;
  • An ability to work successfully with members of a Board of Trustees.
  • A bachelor's degree is required for this position as is at least 7 years of relevant experience.

SALARY AND BENEFITS

The salary for this position is $180K to $200K annually. Aspen Art Museum offers a competitive package of benefits.
