ArtCenter College of Design is Hiring a Coordinator, Marketing and Communications - copy Near Pasadena, CA

ArtCenter College of Design is searching for an experienced Coordinator, Marketing and Communications - copy to join our team.
The salary range for this position: $24.75 - 26.40 per hour. ArtCenter is a 35 hour work week.

Finalsalary is based on education, experience, skills relevant to therole, and internal equity.

ArtCenter is a private nonprofit fully accredited by the WASC Senior College and University Commission (WSCUC).

Every position at ArtCenter plays an important part in carrying out the values, goals, strategic vision, and mission of the College. This includes diversity, equity, inclusion, access, belonging (DEIAB) and culture.

Reporting to the Associate Director, Campus Communications, the Coordinator, Marketing and Communications provides administrative support to the department, performing administrative office functions and serving as the initial contact in the office. This incumbent will also provide support with publicity and College events. The incumbent will also develop content for social media and other digital platforms about events and campus activities.

This is a full-time position with a schedule of Monday through Friday, 8:30 to 4:30 p.m. The position is eligible for flexible scheduling and can be performed as a hybrid with at least three days in the office, with Monday as one of the required days or required as a condition of employment. The position may be required to work a staggered or alternate schedule to meet the demands of the work, which could include weekends or evenings.

Administrative Support - 50%

  • Provide administrative and clerical support to the department, including answering the phone, screening media inquiries, assisting walk-ins, processing mail, email and delivered packages, ordering supplies, photocopying, filing and communicating messages; and overall office maintenance
  • Coordinate and track department purchasing and expenses, process purchase orders and check requisitions, and ensure invoices are approved for payment
  • Coordinate meetings and contribute to department reports
  • Gather and organize event information and assets from various constituents for promotional use on internal and external platforms
  • Assist with media production tasks as required
  • Assist in the preparation of contracts for independent contractors, track payment and maintain records in accordance with College accounting systems
  • Assist with research, proof-reading and fact-checking
  • Assist in producing, printing and displaying directional signs, banners, programs as needed for special events
  • Coordinate, organize, manage, train and track the departments student workers, authorize and submit copies of Student Employment Authorization Forms to Employee Experience (HR)

Campus Communications -30%

  • Use content management system to update campus intranet and college website, ensuring campus news, events and activities are promoted through institutional channels
  • Monitor other College social media accounts for event information
  • Update main website with relevant events. Ensure Inside Master Calendar is updated with all event information.
  • Create, coordinate and upload assets (photos, video clips, logos) for Inside TV and digital campus monitors
  • Assist in developing campus-wide emails to promote events
  • Manage @artcenterlife Instagram account by re-posting content in the feed and/or stories. Create original content that celebrates campus life and community successes.
  • Develop and maintain weekly internal events newsletter
  • Post events on Inside Master Calendar and maintain Marketing and Communications editorial calendar spreadsheet, record notes at team meetings, track action items
  • Gather information and images for promotional use by monitoring various campus communications platforms and subscription services; supply content for use in news releases, calendar listings, online newsroom and third-party event calendars
  • Manage flow of news about faculty, staff, alumni and student accomplishments and articles into ArtCenter Now on main website
  • Fulfill basic media requests, including identifying and gathering assets such as photography, rankings and facts
  • Serve as Marketing and Communications liaison with various campus department representatives for their event and design needs

Special Events – 15%

  • Assist in facilitating special events, including major institutional events, third-party events and facilities rentals
  • Assist in intake and screening of requests for venue use/rental
  • Provide logistical support for ArtCenter events, including staffing as necessary, registration, and other public-facing tasks as needed.
  • Handle press credential requests for campus events
  • Assist in external marketing and promoting of events to media outlets and online listings
  • Develop and track event-related metrics, including event RSVPs and attendance, social media engagement, invitation open rates and post-event survey responses

Non Essential – 5%

  • Assist with special projects and perform general office duties as assigned
  • Perform other duties as assigned
Required Qualifications:
  • Minimum two years of customer service and administrative support experience, preferably in a higher education environment or public relations agency, providing clerical support, including drafting correspondence, email, and telephone communication
  • Detail-oriented with strong organizational, multi-tasking and prioritizing skills; must have the ability to follow through and complete projects
  • Collaborative expertise with excellent interpersonal, problem-solving, written and verbal communication skills to work effectively within the institution and among external audiences
  • Strong computer skills, including proficiency in MS Office Suite products and some experience with Adobe Creative Suite including Photoshop
  • The ability to establish and maintain effective working relationships within ArtCenter’s diverse communities
  • Ability to handle information with tact and discretion as well as recognize the confidential nature of ArtCenter business
  • A commitment to DEIAB and culture and the ability to establish and maintain effective working relationships within ArtCenter’s diverse communities
  • Ability to staff periodic weekend and evening events
  • Ability to travel between campuses and occasionally off-campus locations as needed

Preferred Qualifications:

  • Bachelor’s degree from an accredited college or university
  • Experience using relational databases such as MS Access and Raiser’s Edge
  • Experience with Muck Rack media database or similar database software
  • Demonstrated ability to write brief, web-friendly stories
