BASIC FUNCTION

Manages mail services for the SAIC Community, including mailroom locations in various campus locations and the Residence Halls. Supervises full time staff and student employees in the daily operations of mail services. Coordinates with postal, delivery, freight and messenger companies. Responsible for policy development and implementation. Manages supply orders. Responsible for budget and account management/tracking.

PRIMARY DUTIES AND RESPONSIBILITIES

1. Mail receipt, processing and delivery – Works closely with the Manager of Mail Services in the processing of incoming and outgoing mail campus wide. Ensures mail is distributed in a timely manner to individual mailrooms, pickup locations or campus departments. Supervises staff and student employees in the proper documentation of all incoming and outgoing mail. Communicates closely with departments to make sure needs are met, including regular mail services, large volume mailings, and various other shipping methods. Coordinates mail pickup and distribution with our Museum partners. Supports deliveries to SAIC building docks.

2. Customer Service – Works closely with the Manager of Mail Services to provide a high level of customer service in person and also through communication by phone, video and/or email. Interfaces with members of the SAIC community to ensure mail/shipping needs are met. Advise community members on best methods for meeting their needs. Oversees the training of student employees in proper customer service techniques.

3. Student Supervision – Supervises student employees in the operation of campus mailrooms. Post positions on Handshake and interface with fellow student hiring managers. Responsible for hiring, assigning and directing work, evaluating performance and managing job duties and expectations. Supports staff by remaining organized and providing both written and verbal feedback. Acts as a liaison to leadership for student employee concerns and initiatives.

4. Mailroom Scheduling – Responsible for creating student staff schedules for mailroom locations across campus. Ensure schedules are filled during all open hours.

5. Mailroom Facilities & Equipment – Works closely with the Manager of Mail Services to ensure that all mailroom locations are operated in a safe organized and tidy manner. Responsible for testing, troubleshooting, maintenance and repair of all mailroom equipment. Interface with manufacturers and representatives to keep equipment in good working order. Monitor equipment to ensure accurate processing. Ensure that mailrooms are stocked with needed supplies at all times.

6. Other Duties - Performs other duties as assigned.

Educational and Experience Requirements:

  1. Bachelor’s degree or equivalent professional experience
  2. Excellent attention to detail, problem solving and data gathering skills
  3. Administrative software knowledge including Excel, Word, and scheduling software.
