Front Office Administrator Overview:
In this role, you will work as a member of our front office staff. Your primary job duties will include verifying insurance for mental health benefits for therapy and testing, assisting with greeting and checking in patients, answering questions, collecting patient co-pays, processing paperwork, answering all phone calls, scheduling appointments, and maintaining the office supplies.
Job Responsibilities:
Verify mental health benefits for commercial and Medicare insurance plans for office therapy, psychological testing, and neuropsychological testing services
Enter in verifications and insurance information into our EMR system
Appropriately designate copays, coinsurance, deductibles, and out of pocket information and quote patients with accurate information
Manage the front office by:
Greeting clients
Registering clients according to established protocols
Assisting clients in completing all necessary forms and documentation
Ensuring client information is accurate including billing information
Informing clients of medical office procedures and policies
Collecting co-pays and past due payments
Completing other front office duties as assigned
Responding and complying with requests for information
Safeguarding patient privacy and PHI confidentiality
Assisting with monitoring visitor access and maintaining security awareness.
Answering all incoming calls and dealing with inquiries including but not limited to the following:
Finding the appropriate appointment type
Following all necessary steps to ensure the caller is routed appropriately to the right staff
Transferring calls
Scheduling client appointments
Education, Qualifications, and Experience:
High school diploma
Knowledge of medical terminology, procedures, and mental health diagnosis
Knowledge of computer and relevant software applications such as Microsoft Word, Excel, One Drive, Google Docs, and Adobe
Working knowledge of healthcare insurance, mental health carve out plans, and insurance benefits
Previous experience and knowledge of triaging psychological and neuropsychological testing
Ability to troubleshoot technology (e.g., iPads, connection to printers, etc.) and system related concerns from staff

Listen effectively and express oneself in a clear and articulate manner
Collect, organize, and enter data from clients efficiently
Multi-task, prioritize, and schedule tasks
Produce accurate and high-quality work through concern for all areas involved
Develop client relationships with a focus on achieving client satisfaction
Adjust approach to meet changing demands and situations including dealing with diverse people
Maintain confidentiality and adhere to ethical standards following HIPAA guidelines
