REPORTS TO: Directly – President, Vice President, Project Manager; Indirectly – Operations Manager
MISSION: Provide the Project Management team with daily administrative support and project coordination. Assist in resolving construction issues/problems and perform additional assignments per supervisor’s direction.
ESSENTIAL DUTIES (Production):
- Document Control (RFIs, Submittals, Work Orders, etc.)
- Lead the procurement of construction materials and samples
- Develop and maintain positive vendor relationships through clear communication and follow-up
- Review and approve vendor invoices
- Keep project management team and ownership up to date on all tasks via Buildertrend to-dos and email/calendar communication
- Attend and document project meetings, weekly PM meetings, etc.
- Work with PMs to update BT to-dos prior and during meetings
- Maintain electronic filing systems (One drive and Buildertrend)
- Job Costing/Actuals for labor and materials
- Prepare manpower schedules
- Assist PMs with project schedules
- Assist estimating staff with pre/post-awarded job takeoffs
- Provide support for crew on all projects including but not limited to:
- Clocking in/out
- Sending forms (time off, sick time, time correction)
- Help onboarding employees
- BT and Outlook Training
- Safety Orientation and Safety Bags
- Monitoring Fuel Cards/Weekly Fuel Reports for ownership
- Constant review of policies and procedures
- Continuously monitoring and improving Buildertrend and other technological practices
- Spanish: Bilingual
