Responsibilities:
Invoice Processing: Receive, review, and process invoices from vendors and suppliers. This involves verifying that the invoices are accurate and that the goods or services have been received satisfactorily.
Payment Processing: Prepare and process payments to vendors and suppliers, which may include issuing checks, initiating electronic payments, or processing wire transfers.
Vendor Relations: Communicate with vendors regarding invoice discrepancies, payment inquiries, and other related matters. Building and maintaining positive relationships with vendors is crucial for smooth transactions.
Expense Reconciliation: Reconcile invoices and payments with internal records to ensure accuracy and proper documentation of expenses.
Expense Reporting: Prepare and maintain expense reports, including tracking expenses, analyzing spending patterns, and providing reports to management as needed.
Record Keeping: Maintain accurate and up-to-date records of accounts payable transactions, including filing invoices, receipts, and payment documentation.
Compliance: Ensure compliance with company policies and procedures, as well as relevant laws and regulations governing accounts payable processes.
Process Improvement: Identify opportunities for process improvements to streamline accounts payable operations, increase efficiency, and reduce costs.
Supporting Audits: Assist with internal and external audits by providing documentation and explanations related to accounts payable transactions.
Software Proficiency: Utilize accounting software and other financial management tools to facilitate accounts payable tasks efficiently.
Team Collaboration: Collaborate with other departments, such as purchasing, finance, and procurement, to resolve issues and optimize the accounts payable process.
Problem Resolution: Address any issues or discrepancies in a timely and effective manner, ensuring that payments are processed accurately and vendors are satisfied.
