Job Summary

The Associate Vice President (AVP) of Administrative Services plays a critical leadership role in ensuring the efficient and effective operation of the institution's administrative functions. The AVP supports and assists the Vice President of Administrative Services (VPAS) by taking on various responsibilities that help streamline operations, ensure efficiency, and facilitate the implementation of strategic initiatives. The key administrative areas include facilities management, human resources, campus safety, technology, procurement, financial, contract, and auxiliary services. This position requires a strategic thinker with strong leadership, communication, and organizational skills to manage diverse teams and projects, ensuring alignment with the institution's mission and goals.
Essential Functions

30% - Financial Oversight
Collaborates and coordinates with college and district leaders, faculty, and staff to monitor department level and overall college budget; develops budget reports; monitors college budget and fund balances; advises faculty and staff on the allocation of resources, ensuring that financial and human resources are used effectively to support the institution's priorities; provides analyses and recommendations regarding financial issues to ensure financial prudence.
20%- Policy, Compliance, and Process
Ensures compliance with policies, regulations, and institutional processes, reducing the risk of legal issues; monitors and approves expenditures; administers and oversees contracts and procurement activities; identifies opportunities for process improvements and efficiency gains; encourages innovative solutions to operational challenges by fostering a culture of continuous improvement.
20% - Project Management
Manages specific projects or initiatives assigned by the VPAS, ensuring that they are completed on time, within scope, and on budget; provides regular updates on project status, highlighting successes, challenges, and any required adjustments; directs and oversees the development and implementation of programs, policies, and procedures for business services, fiscal services, student business services, inventory control, events, and fleet services; ensures policy direction is implemented across the college.
20%- Leadership and Supervision
Supervises, reviews, and evaluates departmental directors, managers, and staff; promotes the professional growth of staff, fostering a productive and motivated team; manages relationships and contracts for third-party auxiliary services, including copy services, cafe, coffee bar, and bookstore services.
10% - Performs other duties as assigned.
Minimum Qualifications

Master's Degree from a regionally accredited institution in any field and four years of progressively responsible management and/or leadership experience in field of assignment that includes two years of supervisory experience.
OR
Bachelor's Degree from a regionally accredited institution in any field and six years of progressively responsible management and/or leadership experience in field of assignment that includes two years of supervisory experience
OR
Associate's Degree from a regionally accredited institution in any field and eight years of progressively responsible management and/or leadership experience in field of assignment that includes two years of supervisory experience
OR
High School Diploma/GED and ten years of progressively responsible management and/or leadership experience in field of assignment that includes two years of supervisory experience
Examples of student affairs academic support management/leadership experience includes: program management, project management, budget development and management related to programs or projects, staff supervision, policy development, administration, evaluation and compliance


Desired Qualifications

A. Master's degree in Business, Finance, or Accounting.
B. Four or more years demonstrated experience in collaborative budget planning
C. Four or more years demonstrated experience using financial management systems
D. Four or more years demonstrated experience preparing budget reports
E. Four or more years demonstrated experience with auxiliary and capital budgets
F. Four or more years demonstrated experience overseeing multiple functions on a college campus
G. Demonstrated strong analytical and critical thinking skills to identify issues, develop solutions, and implement effective change
