Veterinary Receptionist
Job Summary:
Conducts a variety of clerical functions relevant to the operation of a small animal hospital.

Minimum Qualifications:

Knowledge Of:
General office practices and procedures including filing systems; receptionist and telephone techniques.

Ability To:

  • Perform clerical work with speed and accuracy;
  • Use a multiple line telephone;
  • Greet clients graciously and recognize the responsibilities involved in responding to client questions and needs;
  • Keep medical records;
  • Understand and carry out oral and written directions;
  • Proficiently handle all forms of monies;
  • Maintain a neat professional appearance;
  • Maintain a harmonious and cooperative relationship with coworkers

Experience: At least two years recent experience in general office work with increasing responsibilities and direct customer service. Recent experience at a veterinary hospital or working with animals preferred.

Specific Duties:

  • Receive incoming phone calls and schedules appointments.
  • Receive clients as they arrive and establish the purpose of each visit.
  • Update the existing medical file or collect sufficient information to prepare a new file.
  • Enter charges for each patient visit into the invoicing system (AVIMARK).
  • Receive payments for services rendered.
  • Answer questions regarding the status of hospitalized animals as directed by the attending D.V.M.
  • Prepare vaccine reminder, welcome, and sympathy cards.
  • Maintain the appearance of the reception area.
  • File medical reports into the appropriate medical records.
  • Refill prescriptions in accordance with hospital policies and procedures.
  • Educate clients about basic care of pets and deliver to-go-home instructions.
  • Prepare the daily posting reports; balance cash, checks, and credit card payments daily; and verify daily deposit.
  • Occasionally type letters.
  • Other related duties as assigned.
