The assistant custodial supervisor works under the direction and guidance of the Custodial Supervisor. Approximately 10-15% of the supervisor’s work week is spent in leadership and training and 75-80% is spent in personal response to custodial needs, routine duties, and projects to ensure clean, orderly, well maintained, safe, and attractive conditions for the residents and guests of the residence hall.

Duties and responsibilities

The supervisor’s general responsibilities are to:
  • Maintain the internal and selected external parts of the building, and keep it in a good state of cleanliness and decorative order.
  • Maintain equipment and facilities, keeping them in a ready and usable state for residents, conventions, and guests.
  • Train and guide custodial personnel, in proper use of equipment, custodial operations, and guidelines.
  • Obtain, review, and prioritize projects from personal observations and various sources.
  • Allocate routine duties, periodic duties, and projects to custodial personnel in the absence of the custodial supervisor.
  • Ensure the timely response and completion of routine and emergency duties.
  • Plan, organize, and complete special projects and needs as directed by the Custodial Supervisor and Residence Hall Director.
  • Fulfill appointed housekeeping duties in assigned areas.
  • Report to Plant Service and/or Custodial for rectification any tasks beyond the assistant supervisor’s scope.
  • Order and acquire supplies as necessary or directed in the absence of the custodial supervisor.
  • Attend and participate in scheduled Facility Management worships/meetings, rotating, in consultation with the Custodial and Maintenance Supervisors, responsibility for leading out.
  • Meet daily work schedule Monday-Friday and every other Sunday and respond to emergency call after 5:00 pm and on weekends as available to do so.
  • Participate and coordinate staff to work with Maintenance Department in preparing rooms for student move-in days, large summer conferences, guest room readiness, or as directed by the Custodial Supervisor and Residence Hall Director.
  • Help in the End of Year Room Inventory Report and follow-through of custodial needs as indicated in the report.
  • Communicate with residents regarding custodial concerns/needs including, but not limited to, the carpet cleaning schedule.
  • Help with special projects and special events as requested by deans’ staff.
  • Assist with and train staff in resident checkout procedures.
  • Assist with voluntary service residents.
  • Duties by Detail
  • The assistant custodial supervisor ensures that the following detailed duties are responded to in a timely manner and according to schedule through personal attention and allocation to the custodial team in the absence of the Custodial Supervisor.
  • These duties are to:
  • Adjust room temperature controls as requested
  • Check, clean, and organize linen rooms, storage rooms, trunk rooms, and office to ensure cleanliness and safety
  • Clear and clean all snow and/or leaves from all exits
  • Ensure proper storage and handling of flammable liquids
  • Set up and removal of audio visual equipment, tables, chairs, lighting, decorations, and other special effects for programs and special events in conjunction with the Maintenance Supervisor
  • Receive Custodial deliveries and store in designated locations and help with any large deliveries as directed by the Residence Hall Director
  • Ensure safe and clean trash disposal process to outside dumpsters
  • Clean trash room floors, trash cans, and replace trash room deodorant
  • Shampoo all carpets as needed
  • Distribute and clean as needed refrigerator rentals such as micro-fridges
  • Deliver toilet paper to housekeeping closets, front desk, Health Club, and other places as needed
  • Organize Lost and Found within the building, periodically cleaning out accumulated lost and found items left at front desk
  • Organize and maintain storage closets

Supervisory responsibilities

Assists in supervision of 1-6 student employees. Responsible for the training and supervision of workers on policies, procedures, and skills needed to accomplish jobs at hand. Carries out supervisory responsibilities in accordance with applicable laws, Andrews University and the residence hall’s policies and budgetary allowance. Is responsible for the overall direction, coordination, and evaluation of these areas.
The following are to be done in consultation with the Residence Hall Director:
  • Scheduling of custodial personnel
  • Staff hiring, training, and evaluations
  • Daily management of custodial staff
  • Daily facility inspections
  • Employee time card review
  • Planning of functions for department
  • Attendance of 1 management regional conference per year
  • Job description changes and assigning and directing work
  • Encouraging and confronting employees
  • Addressing complaints and resolving problems

EDUCATION and/or EXPERIENCE
Associate’s degree (A.A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
LEADERSHIP AND TEAM BUILDING SKILLS
Must have skills in leading and building a team to work together and efficiently.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, proportions, percentages, and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out a variety of instructions furnished in written, oral, diagram or schedule form. Ability to solve problems and deal with a variety of variables in a variety of circumstances regarding organizational decision, priorities, time lines, and interpersonal conflicts.
OTHER SKILLS AND ABILITIES
Basic computer skills in Word and other basic programs are necessary. Ability to retrieve and send emails. Some knowledge of Spanish would be helpful.

Ability to read, comprehend, and interpret documents such as instructions, correspondence, memos, job descriptions, safety rules, maintenance instructions, product usage instructions and procedures manuals. Ability to write simple correspondence, memos, and routine reports. Ability to communicate effectively using good public relationship skills with one-on-one, small group situations, employees, residents, other departments, businesses, and contractors.

Physical demands

While performing the duties of this job, the employee is regularly required to walk; use hands to finger, handle or feel; reach with hands and arms; stoop, knee, crouch, or crawl; and talk or hear. The employee is occasionally required to stand, sit, and taste or smell. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perceptions and attention to tiny detail.

Work environment

While performing the duties of this job, the employee is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, and extreme heat. The noise level in the work environment is usually moderate.
