Description

Job Summary: This position is responsible for performing a variety of clerical duties for Pod staff and physicians.

Primary Job Responsibilities:

  1. Greets, screens, schedules, and directs patients to exam rooms.
  2. Performs clerical duties related to clinical services including medical transcription, composition, and dictation in a medical group.
  3. Prepares and processes correspondence. Answers routine medical administrative inquiries and drafts letters for physicians and other clinical staff.
  4. Performs medical receptionist duties as necessary. Answers telephone, screens calls, takes messages, and provides information.
  5. Obtains, verifies, and updates patient information and provides support services to patients and medical staff.
  6. Requests, locates, sends, and receives patient medical records.
  7. Maintains medical appointment books for patients, meetings, travel, etc.
  8. Arranges meetings for clinical staff.
  9. Prepares clinical services organizational charts and timetables. Assists with the preparation of agendas, materials, notes, etc.
  10. Attends meetings, takes and distributes minutes.
  11. Maintains files and assists in establishing office systems.
  12. Orders office and clinical supplies. Assists in the care and maintenance of office equipment.
  13. Performs other duties as assigned.

Requirements

Education: High school diploma or general equivalency diploma (GED). Diploma as a medical administrative assistant from an accredited medical vocational course preferred.

Experience: Minimum two years of administrative assistant experience in a medical office setting.

Other Requirements: Medical administrative specialist certification preferred from American Medical Technologists.

Performance Requirements:

Knowledge:

  1. Knowledge of medical terminology and office procedures.
  2. Knowledge of grammar, spelling, and punctuation to type from draft copy and review and edit reports and correspondence.
  3. Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.

Skills:

  1. Skill in operating office equipment.
  2. Skill in organizational matters including time management, prioritization, and multitasking.
  3. Skill in writing and communicating effectively.
  4. Skill in problem-solving.

Abilities:

  1. Ability to type 60 words per minute using word-processing software. Able to learn/use other computer programs including Microsoft® Excel, e-mail, Internet, and Microsoft® PowerPoint.
  2. Ability to read, understand, and follow oral and written instructions.
  3. Ability to sort and file materials correctly using alphabetic or numeric systems.
  4. Ability to communicate clearly and concisely.
  5. Ability to establish and maintain effective working relationships with patients, physicians and other clinical staff, and the public.
  6. Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, and appropriate practice management software.

Equipment Operated: Office machinery including computers, fax, dictating machine, calculator, and photocopier.

Work Environment: Medical office, well lighted, well ventilated. Work may be stressful due to a busy office. Involves frequent contact with staff and patients.

Physical Requirements: Must possess the physical and mental abilities to perform the tasks normally associated with a Medical Administrative Assistants such as manual dexterity to operate office machines including computer and calculator; stooping, bending to handle files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines.
