Specific Skills Required for Position: MS Office, Database Management software, Adobe Programs, detail oriented, and strong writing skills.
Explain the function(s) to be performed by the requested staff member:
  • Collaborate with the internship manager in the recruitment of talented high school candidates from a diverse pool of initial applicants for the high school Summer Internship. Serve as a liaison between candidates and hiring managers; communicate, monitor, and facilitate the progress each applicant to ensure a timely completion.
  • Maintain applicant spreadsheet throughout the interview and selection and notification process, application completion, I9 processing and HR approval processes. Maintain all files and records for the program.
  • Assist with the review of online applications and employment applications from HS Summer Internship Program (SIP) and employment applications for the college intern (CIP) college students (year-round and summer only), and required documents (I-9, age-appropriate working papers for HS applicants, head shots, etc.). Review the application with students if needed. Once received, review the application and write up notes regarding any corrections that are needed (e.g., signing all documents and ensuring they are up to date) to send to the applicants. Review the updated documents received and communicate with applicants and parents if needed to ensure the timely completion of the employment application and submission of required documents.
  • Prepare and send messaging to accepted candidates via email, phone, and text messaging across each stage of the application process for outstanding documentation – resume, transcript, recommendations, amending errors, age-appropriate working papers, headshots etc. and interview process.
  • Save completed and final employment applications and documents in a shared folder – HS, college interns (summer and year-round) and college supervisors and documents for these individuals saved in separate folders to include age-appropriate working papers, I-9 document(s), ID’s resume, tax forms (W-4, IT-2104 or IT-2104-E)
  • Manage the Mandatory I-9 processing session by preparing a Microsoft Form to send out to students to acquire information about attendance; formulate a Sign in Sheet for the specific date(s) and a print out containing the Student Names, Student Signature and Sip Supervisor Signature columns. Make sure all documents are signed and verify that age-appropriate working papers are current.
  • Collaborate with the Human Resources Manager and the Confidential Human Resources Specialists to verify the completeness of all documentation submitted during the Mandatory I-9 processing session. Follow up with students for any recommended changes and submit in a timely fashion.
  • Follow up with students who may have a birthday change during the program to ensure that their age-appropriate working papers are up to date.
  • Provide data from the NEOGOV system that includes the selected students compete addresses and add their social security number and date of birth.
  • Provide data including student names and/or email addresses to payroll and desktop support. Provide the Manager of Admin Support with a list of students and their headshots to be collected 3 weeks prior to the start date.
  • Assist with writing and editing content for deliverables including orientation and training presentations, surveys, and event materials etc. Assist with writing up the training topics, speakers and contact information and activities for the training provider.
  • Proactively assist and assign responsibilities to 5-6 college supervisors. Collaborate with them.
