About the Position: 
As a Recruiting Coordinator at American Veterinary Group, you will play a pivotal role in supporting our recruitment and talent acquisition efforts. This role is ideal for a detail-oriented and highly organized individual who thrives in a fast-paced environment. The Recruiting Coordinator will report to the Director of Organizational Planning and will be responsible for various tasks related to team coordination and recruitment support. 

Key Responsibilities

Administrative:
  • Monitor and respond to multiple departmental email inboxes (6 currently). 
  • Manage the employee referrals program, ensuring timely and accurate processing. 
  • Provide Pinpoint and Vetcher help desk support for support office and practice team members. 
  • Monitor and address delinquent tasks related to recruitment activities. 
  • Assist in adding new hospital locations to external careers map and Pinpoint & Vetcher systems. 
  • Maintain and update relief DVM licenses, ensuring that the relief database has up-to-date license information for all of our relief veterinarians. 
  • Maintain and update the talent pipeline database within Pinpoint. 
  • Document team meeting notes and follow up on action items. 
  • Coordinate meet and greet sessions for new hires and key Recruiting Team members.
  • Organize and execute annual Recruiting Team meeting and provide logistical support. 
  • Create new hire onboarding itineraries for new Recruiting Team members, including coordination of travel/hotel, hospital visits, etc.
  • Manage user accounts by adding and deactivating users in the Pinpoint system.
Event Coordination & Campus Relations:
  • Manage the coordination, processing, and scheduling of the DVM externship coordination efforts. 
    • Respond to inquiries (both direct from hospitals, as well as job applications) 
    • Coordinate externship dates with hospital teams 
    • Send extern welcome box 
    • Send follow-up survey to externs after completion of externship 
    • Ensure that externships are posted to CVM directories for easy access for students 
  • Assist with campus activities, including registering for events, managing the events calendar, and related tasks. 
  • Coordinate the ordering, storage, and distribution of swag and promotional materials for campus and conference events. 
  • Create event-in-a-box shipment to Recruiting Team members for upcoming events.
  • Assist with internal communication regarding campus and conference events.
  • Collaborate with Recruiting and Business Development to coordinate UF tailgate event 
  • Assist in coordination of major company events like VMX and WVC. 
  • Coordinate the mailing of best-in-class and DVM welcome boxes.

Skills, Knowledge and Expertise

  • Bachelor's degree in Human Resources, Business Administration, or a related field is preferred. 
  • 1-2 years of experience in recruitment coordination or administrative support. 
  • Exceptional organizational skills and attention to detail. 
  • Strong written and verbal communication skills. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). 
  • Ability to work independently and as part of a collaborative team. 
  • Flexibility and adaptability to changing priorities. 
  • Knowledge of the veterinary industry or healthcare recruitment is a plus. 
  • A positive, can-do attitude; strong people skills/emotional intelligence; excellent analytical skills; willingness to roll up your sleeves and chip in to help the team.
