Essential Duties & Responsibilities

· Check-in, check-out, and complete registration for each patient according to service being performed and location of care.

· Check out patients at the end of their appointments and schedule return visits

· Resolve patient accounts providing patients with financial clearance options including partial payments, payment options, and financial assistance. Properly receipt patient payments and maintain drawer.

· Complete items of acknowledgement of patient responsibility or Advance Beneficiary Notice of Noncoverage (ABN) form. Refer patients to Financial Counseling when need is identified for financial screening.

· Copy, scan, index and route all documents related to the encounter appropriately. Document critical information accurately to ensure prompt authorization, referrals, and scheduling.

· Ensure departmental compliance of entering correct data into the appropriate systems for standard workflow documentation.

· Verify each patient completes applicable paperwork correctly. Accurately aid and educate patients in completing any forms needed for the visit such as New Patient, consents, ROI forms, etc. Obtain signature and explain on all applicable forms for every patient or their representative.

· Obtain and scan all insurance cards, Government issued Photo ID accurately matching legal name and perform Quality Check on each scanned image for legibility.

· Accurately verify patient insurances and meets organizational standard.

· Accurately identifies all insurances, including workers compensation and accident liability.

· Verify and asks appropriate questions to determine primary and secondary liability orders for all third-party payers.

· Perform pre-service duties related to scheduled procedures and communicate directly with patients and providers on any procedure specific instructions, education, and/or requirements.

· Deliver a positive patient experience in all encounters. Provide instruction to patients on preparation of documents needed and expectations for visit. Act as a patient/physician liaison for other patient needs and questions. Perform any written or verbal communication necessary to exchange information with designated contacts internally and externally promoting effective working relationships.

· Provide copies of routers, appointments, and other applicable forms to the appropriate staff such as Pre-cert / PT / Billing / physician / MRI /etc.

· Send referrals to outside physicians and facilities for patients, including any pertinent medical records that may be needed.

· Answer phone lines applicable to the office, triages effectively, and dispatches to the appropriate areas

· Demonstrate mastery of enterprise-wide scheduling process and software.

· Schedule multiple services throughout the organization’s entities while balancing departmental resources, utilization requirements, and addressing physician/patient requests or needs.

· Stay up to date with required documentation for clinical research participation. Coordinates with physician and applicable patients as necessary to gather required information and report it appropriately to the clinical research group.

· Aid in the closure of the front office daily.

· Other duties as assigned

Education and/or Experience Requirements

  • Experience with check in, scheduling, and check out functions within the Healthcare Industry preferred
  • Experience with an EMR system a plus.
  • High school diploma
