Position Basics

This is a full-time, 40 hours/week position. You'll work in the office Monday-Thursday and can work remotely on Friday. A dedicated work cell phone and laptop will be provided.

How You’ll Contribute to the Team

The Operations Administrator is a back-office team member who delivers excellent customer service, oversees daily business functions, and supports ownership. This role is responsible primarily for client relations, and works with the CEO, Design Manager, & Sr. Field Supervisor, to deliver top-tier customer service. This role is also responsible for supporting ownership through process creation and improvement, human resources management, and overseeing the company's daily functions. This role reports directly to the CEO.

Primary Responsibilities

  • Answering phone calls and respond to inquiries in a professional and friendly manner
  • Sending invoices for completed jobs and keeping track of unpaid invoices
  • Overseeing the inbound lead process
  • Depositing checks in online banking and applying to invoices
  • Completing follow-up calls to recently serviced clients
  • Scheduling approved client projects or adjusting the schedule, and coordinating staff availability
  • Placing special orders and ensuring they are received before scheduled installs
  • Scheduling repairs
  • Overseeing scheduling and invoicing for recurring maintenance agreements
  • Completing HR functions, including payroll, onboarding, and offboarding
  • Creating and maintaining standard operating procedures
  • Supporting and collaborating with ownership in process creation, improvement, and implementation
  • Managing CRM, price-book, workflow, and necessary integrations
  • Communicating with the bookkeeper to troubleshoot Quickbooks and CRM sync
  • Collaborate with CEO on team events, holiday parties, etc
  • Collect and sort mail
  • Order office and snack supplies
  • Oversee fleet vehicle insurance and file necessary claims

This list will be revisited, and responsibilities will be added/changed/removed as needed.

  • Experience working with and supporting Executive/C-Suite level roles
