Payroll/Accounting Specialist

SUMMARY:
AIP is looking for a Payroll/ Accounting Specialist to join the Institute’s Finance and Administrative Team. The Payroll Specialist is primarily responsible for the day-to-day operations of the payroll and the overall payroll process. Provides payroll support for AIP, AIP Publishing and select Member Societies. The oversight of payroll is done in collaboration with Talent and Culture of AIP. The overarching system is ADP Workforce Now and in partnership with ADP Comprehensive pay. Standard operating procedures have been established, which include the RACI model to ensure success and excellence in the employee experience.

WHAT YOU’LL DO:
Process bi-weekly payroll for AIP and four other organizations, staffing of 300 .
Prepare bi-weekly journal entries for payroll, including journal entries for societies.
Assist with all 3rd party filings including retirement contributions
Responsible for maintenance of all time keeping systems and codes
Review all tax filings processed by ADP.
Prepare all account reconciliations related to payroll.
Keep abreast of all legislation and regulatory rulings impacting payroll.
Prepare and processes bi-weekly submissions for retirement contributions.
Develop and maintain custom reports in ADP/WFN.
Review payroll process and internal controls and make recommendations on process improvements
Support annual salary and benefits budget
Support annual retirement audit
Process all year-end activity and verifies accuracy of W-2’s prepared by ADP
WHAT YOU’LL BRING:
A bachelor degree in accounting or management or related field
A Professional Certificate in Payroll is preferred
5 years payroll experience with mid to large organization
Understands ADP Enterprise E-Time system and Kronos timekeeping systems
Demonstrated experience in Excel
Effective verbal and written communication skills
Demonstrated ability to collaborate with others on all levels including upper management
Demonstrated ability to meet time schedules and deadlines.
