The American Heart Association is seeking a Senior Manager Operations, Planning & Operations. This position can be home based within the United States.

This position is responsible for the day-to-day oversight of business operations for the National Marketing Communications Department at the American Heart Association, including management of the Workflow and Asset Management Optimization (WAMO) Initiative. This is a player-coach role intended to lead and support workflow process optimization, facilitate connection and awareness to drive greater alignment, decrease duplication, improve collaboration, and facilitate brand cohesion.

As a lead change agent, the MarComm Sr. Operations Manager will ensure the department is working efficiently and effectively in alignment with the Association’s mission, vision, values, and goals. Reporting to the Director of MarComm, Planning and Operations, this role will oversee, manage, and provide oversight of department budgets, program training and adoption, asset management strategies and enhancements to existing workflow process functionality. Additionally, this position will review performance data to assess operational progress towards goals, determine areas of improvement and identify potential areas for resource reduction and set departmental policies, goals, objectives and/or operational procedures.

Responsibilities

  • Overall Department Operations: Oversee and manage business operations for the national Marketing Communications department including reviewing performance data to assess operational progress towards goals, determine areas of improvement and identify potential areas for resource reduction, direct various activities to ensure efficient operation of the MarComm department and set departmental policies, goals, objectives and/or operational procedures in conjunction with the Director of Planning and Operations and MarComm leadership.
  • Workflow and Asset Management Optimization (WAMO): Lead and support digital workflow process optimization, including but not limited to governance process management, administration and management of marketing asset management strategy, training and adoption management & support of Workfront and Bynder and lead, manage and implement minor enhancements to existing program functionality.
  • Relationships Management & Coach: Champions health equity, diversity, and inclusion. Provides leadership, mentoring and guidance to direct reports. Meets regularly with MarComm teams including Consumer Health, Corporate & Marketing Communications and Integrated Marketing as well as cross department and cross functional teams, enterprise-wide, to facilitate collaboration driving towards organizational and operational goals.
  • Financial: Act as lead and manages department budget preparation and facilitation including communicating procedures, distributing, and completing budget templates, training and overseeing modifications or revisions. Coordinates with leadership team for preparation and submission of annual budgets for leadership review and approval. Streamlines budget processes as applicable.
  • Other duties, projects, or analyses as assigned including participation of cross functional task forces.

Qualifications

  • Seven (7) years of marketing, communications, operations management, or business administration experience. 
  • Five (5) years of financial analysis and financial management experience.
  • Project and/or Program management skills including budgeting, procuring resources, troubleshooting, etc.
  • Strategic planning skills, including critical thinking, forecasting, etc.
  • Three (3) years of experience managing direct reports.
  • Strong interpersonal and mentoring skills, ability to influence and lead a team indirectly; build consensus and influence leadership.
  • Excellent in oral and written communications. Ability to communicate with all levels of AHA staff.
  • Effectively interact with Mid and Senior Level Management.
  • Demonstrated ability to concurrently manage multiple projects, work in fast paced, dynamic environment and excellent in working against deadlines.
  • Proficient in all Microsoft Suite products including Outlook, Word, Excel, and PowerPoint, required.

Preferred Qualifications:

  • Three (3) years of experience with developing and managing processes and/or program change.
  • Ability to thrive in fast-paced, dynamic environment and to adjust to new priorities as required, with limited supervision.
  • A self-starter who can operate independently and take the initiative to start, own, and refine projects versus limiting the scope to reporting on and tracking projects.
  • Flexibility to work in an interactive environment with a high tolerance for ambiguity and change.
  • A deadline driven, no-task-is-too-small mentality.
  • Strong attention to detail, organization, and time management skills
