The Global Merchant & Network Services Global Client Group (GCG) is responsible for our most significant global merchant relationships. This group is very unique within American Express, partnering globally to develop and implement opportunities that deliver value, deepen partnerships and drive revenue for the Company. With a highly talented team spanning the world, the GCG team collaborates across American Express to drive initiatives to grow our merchant business. 

The Executive Administrative Assistant position plays as a critical role within GCG, supporting two Vice Presidents and their collective team of 25 client facing directors and managers, delivering key administrative and tactical support to help the team function efficiently and effectively. 

This person will collaborate across both internal and external executive offices. The candidate should demonstrate strong executive presence, and an ability to act strategically in an information intensive and fast-paced environment. They should be able and comfortable prioritizing activities for the VPs and facilitating on their behalf. The Executive Assistant will also assist in the coordination of special projects and ad hoc administrative requests, as required. A successful candidate must be a strong multi-tasker, self-starter, and adaptable. Previous executive assistant experience in a large company is required.

Responsibilities include:

  • Organizing and maintaining complex and changing calendars and managing conflicting time requirements with knowledge of how those meetings impact the business
  • Booking frequent business travel in compliance with company policies in Amex Concur system
  • Coordinating, preparing, and reconciling expenses in compliance with company policies in Concur system
  • Manage
  • Coordinating logistics and arrangements for regular and ad hoc internal or external meetings and activities (e.g. team building, large partner meetings), including conference calls and meeting rooms as needed for a hybrid work environment
  • Proactively following up on critical to-dos in order to effectively meet deadlines/commitments
  • Coordinating real estate, office supplies and other administrative/project work activities
  • Actively supporting planning for team building and employee engagement activities
  • Managing team contact lists, organization charts, PTO tracking and key department files on shared drives
  • Coordinate and support the on-boarding and recruitment process for selected candidates across the teams.
  • Ad hoc support for VPs in preparing presentation materials and collating information
  • Being an active member of the broader team, including colleague engagement events, team meetings and development opportunities

Minimum Qualifications

  • 3 years experience as an executive assistant in a large company
  • Excellent organizational, time management skills, and high attention to detail to manage calendaring, scheduling and priorities for Senior Leaders.
  • Ability to work effectively with minimal supervision, be self-disciplined and able to prioritize workload
  • Excellent interpersonal, written and verbal communication skills.
  • Working knowledge of MS Office applications (Word, Excel, PowerPoint) and Outlook.
  • Experience with AXP web-based systems a plus (e.g. Ariba, CareerTrack, MyHR, Payroll, etc.).
  • Prior experience working with external client offices; ability to interact effectively at all levels of the organization with external clients.
  • Prior experience with coordinating travel, expense reporting and anticipating issues
  • Strong verbal and written communication skills
  • Excellent integrity and accountability
  • Ability to manage multiple daily requests and perform tasks with high accuracy

  • Strong problem solver that takes initiative and is proactive

Salary Range: $24.05 to $48.10 hourly bonus benefits
