POSITION SUMMARY

Based in Washington, D.C., the Temporary NSLI-Y Program Assistant supports staff and participants with multiple aspects of program planning and logistics. NSLI-Y is a program of the U.S. Department of State’s Bureau of Educational and Cultural Affairs (ECA). NSLI-Y provides merit-based scholarships for eligible U.S. high school students to learn less commonly taught languages in summer and academic-year overseas immersion programs. This is an hourly position and 35 hours per week is the expected norm with overtime being required at times. Some weekend and evening work will be required in June and August. This position is expected to start in mid-March and run for approximately 6 months.

The Temporary NSLI-Y Program Assistant will report to the Program Manager for NSLI-Y Placement.

POSITION RESPONSIBILITIES

  • Assists with facilitating participant travel:
    • Work with appropriate staff to request and review domestic and international participant flight arrangements.
    • Organize participant travel itineraries and report travel details in an effective manner.
    • Share travel arrangements with participants and families and respond to inquiries.
    • Monitor participant travel and help troubleshoot issues.
    • Assist with airport and train station participant arrivals during pre-departure orientations.
  • Supports completion and submission of participant student visas to various consulates:
    • Closely review participant visa applications for accuracy and completion.
    • Submit visa applications on behalf of participants to appropriate foreign consulate, online or in-person.
  • Contributes to host family recruitment and placement:
    • Organizes and files completed host family recruitment and application documents.
    • Creates host family profiles to share with participants.
    • Inputs host family information into student information system.
  • Assists with pre-departure orientation event management:
    • Print nametags and compile event materials.
    • Help with set-up and clean-up of conference spaces, including arranging furniture, checking technology, assisting with catering, and transporting office supplies.
    • Interface with NSLI-Y participants and answer questions.
    • Providing participant supervision as needed.
  • Mailing and printing of various participant materials.
  • Additional duties as assigned.

Qualifications


• Excellent communication skills in spoken and written English;
• Strong attention to detail and organizational skills;
• Ability to exercise good judgment and flexibility; 
• Ability to respectfully and professionally manage student information; 
• Demonstrated experience working with clerical and administrative tasks;
• BA in relevant field (e.g. language, education, international affairs, area studies) preferred;
• Study, work, or travel experience overseas experience in a NSLI-Y host county preferred.
