Job Overview:

We are seeking a detail-oriented and organized Receptionist/Administrative Assistant to join our team. The ideal candidate will provide exceptional customer service and administrative support in a fast-paced environment. This position is responsible for the professional and efficient managing of visitors, clients, vendors, telephone calls, and messages as well as a variety of clerical duties that support the payroll and administrative services, we provide our clients.

Duties may include:

  • Answering telephone, screening, and directing calls or taking messages accordingly.
  • Provide general support to callers, as needed.
  • Responsible for greeting visitors, clients, visiting colleagues or anyone who enters the premises.
  • Should sign for incoming deliveries and distribute to appropriate staff.
  • Preparation of outgoing UPS, FedEx, or local courier packages daily, as needed.
  • Responsible for outgoing mail and making sure that postage is correct and in person pick ups are verified with appropriate logs entries made.
  • Maintain organized and tidy appearance of the receptionist area.
  • Ensures the appearance, functionality and stock is maintained in the primary processing room.
  • Daily, ongoing printing & preparation of all physical payroll packages for pick up or delivery.
  • Manages weekly inventory to ensure kitchen, janitorial, general office supplies and processing room stock is on hand and available. Must anticipate high volume needs and have appropriate levels of stock.
  • Keeps immediate supervisor well-informed of activities, results of efforts and concerns identified/or potential problems with recommendations for solutions.
  • Maintains confidentiality of organization, fiscal, personnel and client related information.
  • General administrative and clerical support such as: Filing, preparing letters, documents, and reports as needed, keeping the clients electronic files updated, assisting with correspondence and administrative projects for management, offering client/employee online support, data entry and general support for the team and Management.
  • Will learn to manage basic, minimally complex payrolls for clients and process those assigned accounts and all related maintenance required on a regularly scheduled basis.
  • Manages various client subscription services to assist with maximizing client offerings while minimizing associated costs.

Experience:

- Proven 2 years experience in reception, customer service or administrative roles
- Familiarity with office procedures and basic clerical and/or accounting principles
- Strong computer and technical literacy, including proficiency in MS Office
- Excellent communication skills, both written and verbal
- Experience on a payroll team or in the financial services industry, highly valued
- Ability to multitask, prioritize and demonstrate a high level of organizational skill, requried
