POSITION OVERVIEW AND PRIMARY DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS):

The Inventory Data Specialist (IDS) will support and document the cradle to grave logistics process for the contract through written record of acquisition, inventory control, allocation, distribution, delivery, calibration, repair, and disposal of equipment. Will maintain department milestones through collecting, compiling, and updating relevant logistics data, processes, and procedures to enable timely documentation of customer requirements. Monitor and respond to vendor and customer correspondence, maintain situational awareness of vendor and customer transactions and communicate effectively with all points of contact during the logistics process. Monitor and update data collection platforms for diverse end users. Develop, evaluate, and propose revision of logistics policies, procedures, and plans. Achieve and maintain working knowledge of all Logistics Team position functions, capabilities and limitations.

Essential Functions:

· Maintain databases through collaboration with key Logistics staff of logistics information, orders, shipping status, delivery status, inventory, etc. through multiple technology platforms.

· Interpret data on logistics elements: availability (inventory), maintainability (life cycle), supply chain management, distribution, and transportation.

· Create, organize, and update Logistics communication and/or collaboration interfaces such as functional shared mailbox, Logistics SharePoint site, shared network folders

· Help update, create, and maintain logistics templates required for tracking, organizing, and requesting Bill of Materials

· Confer with logistics management team to optimize data collection, recording, updating/ maintenance of relevant data and service levels, maintain supply-chain efficiency and minimize cost

· Monitor product flow cradle to grave while maintaining up to date records abiding by contract requirements and all Federal Acquisition Regulation (FAR) requirements.

· Monitor and record inventory transactions at warehouse facilities to assess receiving, storage, shipping, or inventory integrity

· Document shipping of equipment through unsecured commercial, unsecured pouch and secured pouch

· Update tracking and receipt of all shipped/incoming packages and providing quality control regarding accuracy of materials

· Assist with compiling purchase order request in a timely manner to meet program sustainability

· Update the BOM/Purchase Order (PO) Tracker daily with status and review documentation for required accuracy/completeness

· Assist with creation of shipping plans for shipments and receivables, including funding and expediting.

· Respond to/support field technician inquiries regarding broken/worn-out equipment, calibration, and new PPE

· Providing summarized reports and written summaries of ongoing efforts against key milestones to the Management team

· Helping support the department through other duties as assigned

Physical Demands and Work Environment:

· The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of this position. While performing the

duties of this job, the employee is frequently required to use their hands to handle, feel or operate objects, tools, or controls; and reach with hands and arms. Frequent pushing, pulling, lifting, and carrying of objects weighing up to 50 pounds and work within a warehouse and office environment. The employee must be able to visually identify hazards within the place of work and be able to effectively hear well enough to hold a conversation with others by telephone and/or face-to-face with moderate background noise levels.

· The work environment characteristics described herein are representative of those an employee encounters while performing the essential functions of this position. The warehouse environment is conditioned space; however, the employee may experience increased heat and humidity levels while performing work in this environment.

Deliverables may include:

1. Daily order tracking status (shipped, received, etc.)

2. Procurement Order Request (as needed)

3. Weekly Inventory Log

4. Monthly Inventory Log

5. Daily Program equipment readiness (BOM fulfillment %)

6. Program equipment shipping status (as needed)

7. Other duties as assigned to fulfil contract requirements.

REQUIRED QUALIFICATIONS AND EXPERIENCE:

Qualifications and Education Requirements 

  • Minimum of a high school diploma 
  • Minimum 1- 3 years’ experience in logistical operations and/or supply-chain management 
  • Ability to obtain and maintain a Secret at minimum 

Preferred Skills

· Self-Starter and team working abilities

· Strong experience with Microsoft Office Suite

· Excellent oral and written communication skills

· Excellent organizational skills

· Ability to multi-task, and function in a fast-paced environment, meeting quick turnaround deadlines

· Knowledge in government supply-chain management, logistics functions

· Knowledge of government shipping requirements, including details of security, hazmat, and Post/location special needs

· General understanding of the Federal Acquisition Regulations (FAR
