Position Summary 

Responsible for the timely and accurate quoting of all client Commercial heating and air conditioning part replacements and work orders, as well as maintaining warranties on parts.

Essential Duties and Responsibilities

Management reserves the right to assign or reassign duties and responsibilities to this job at any time.

  • Responsible for the quoting of any Commercial HVAC parts and/or units in need of replacement at client (retail stores, etc) locations.
  • Contacts HVAC technicians, supply houses, and/or manufacturers for any needed part or unit information, or uses the Internet to locate such information as needed to expedite quoting.
  • Effectively handles Level 1, Level 2, Level 3, and Level 4 quotes based on priority status and current information.
  • Researches warranty information on parts and units, including contacting supply houses and manufacturers as needed. Ensures warranty parts are returned.
  • Negotiates HVAC part and unit prices as needed in order to facilitate work.
  • Works with malls in fulfilling their unit replacements requirements to ensure work completed in timely manner.
  • For approved quotes and/or work orders, works with technicians in need of extra time or parts in order to complete job by contacting client home office for approval and entering information into work order.
  • Reviews completed jobs which exceeded quote or tech hours which were over or under projection in order to determine problem areas. Works with Field Operations Manager and Accounting Manager regarding these issues in order to facilitate future work
  • Enters quotes and work orders into Databasics.
  • Sends completed quotes to President for approval and submission to client home office.
  • Responds to any client questions, especially regarding quotes, in a timely and professional manner.
  • Assists in answering incoming service calls or parts ordering and entering such calls into Databasics.
  • Participates in Management Meetings.
  • Responsible to act in accordance with all personnel policies.
  • Assumes additional responsibilities and performs other duties as may be assigned by President at any time.

Minimum Job Requirements

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Education: High school diploma or GED.
  • Experience: 3-5 yrs or more related Commercial HVAC experience and/or training (or equivalent combination of education and experience).
  • Specific Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write reports and correspondence. Ability to perform complex mathematical calculations. Ability to work independently, with strong organizational, analytical, interpersonal, communication skills. Ability to use phone, computer and computer programs.
  • Specialized Knowledge, Licenses, etc: HVAC certification
  • Technology Used: Desktop/Laptop and related equipment (databases, spread sheets, word processing etc.); telephone; shredding machine; printer; copier; scanner; fax; typewriter; desk; files; storage cabinets; calculator. MS Office, Blackberry, Databasics
  • Physical Requirements: Must be able to sit for extended periods of time. Prolonged exposure to computer monitors; must prioritize well and focus on completion of assigned tasks; must operate various input/output devices including keyboard and computer “mouse”; maintains a positive and objective “customer service” approach and attitude even when confronted with difficult

  • Working Conditions: Remote work or Office environment; overhead and indirect lighting; fluctuating internal climate control (levels of heating/cooling and general air handling may vary).

Alpine, a Helios company compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from $58,000 in our lowest geographic market up to $65,000 in our highest geographic market. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience. Helios’s compensation may also include annual bonus, commissions, equity, sign-on payments, as part of a total compensation package, in addition to a full range of medical, financial, and/or other benefits.
