Position Title: Grants Administrator
Department: Business Development
Supervisor: Associate Vice President of Business Development
Supervisory Responsibilities: Grant Writer
FLSA Status: Exempt

Summary:

The Grants Administrator is responsible for identifying grant opportunities, preparing grant applications, securing grants of all types, and assisting in the management of approved grants in specified functional and program areas. The Grants Administrator will work to enhance funding models, identify new sources of funding, and develop sustainable and effective grant programs. Identifying potential grant support will help meet the financial and operational needs of the organization and will include governmental agencies, foundations and corporations.

The Grants Administrator is responsible for researching and identifying grant opportunities, preparing grant applications in coordination with the grants team, department directors, and other support staff, as well as the management of approved grants. This will include identifying, developing and coordinating resources available to Alluvion Health in the form of grants; systematic investigation and research of community as well as organizational needs; determination and recommendation of programs which are fundable; securing of grants for selected programs; and monitoring the administration of such programs.

Essential Job Responsibilities:

1. Conducts research to identify, apply for, administer, supervise, coordinate, and monitor federal, state, and local grants or loans in accordance with applicable standards, regulations, and guidelines;

2. Interacts with federal, state, and local agencies to ensure that grant projects comply with program guidelines for expenditure, funding, and accountability;

3. Investigates, researches and analyzes legislation relating to federal, state and local grant programs;

4. Obtains access to new legislation relating to current and future programs;

5. Works in close conjunction with department directors and other members of leadership to determine programs which could be funded through grants;

6. Provides supervision to Grants Manager and other support staff;

7. Prepares grant applications and proposals for submittal in conjunction with the Grants team; including writing, reviewing, and editing grant applications and proposals;

8. Coordinates and participates in organizational and stakeholder meetings related to grant needs and applications;

9. Prepares monthly reports on funded and non-funded project status;

10. Works closely with the Finance department to ensure proper use and tracking of grant funds;

11. Coordinates with department leads and other members of leadership to ensure timely completion of grants/loans.

12. Participates in quality improvement programs and activities;

13. Performs duties efficiently and effectively;

14. Follows Alluvion Health’s policies and procedures;

15. Maintains confidentiality of sensitive information according to HIPAA;

16. Responsible for completing various special projects/events, which may require reviewing and analyzing information, identifying problems, recommending solutions, and writing reports;

17. Performs a variety of other duties as assigned; which may include but are not limited to: directing or participating in special projects and events, conducting research, representing Alluvion Health at meetings and conferences, and attending continuing education and training events.

18. Other duties as assigned.

  • Occasionally lift up to 50 pounds;
  • Pass a criminal background check;
  • Meet established timelines and/or deadlines;

  • Offer suggestions for improvements.

Education/Training/Qualifications:

Education/Training:

  • Bachelor’s Degree in Public or Business Administration, or closely related field preferred and a minimum five (5) years’ experience in grant writing related field;
  • Experience in a Federally Qualified Health Center or Healthcare Setting preferred.

Certifications:

  • Valid Driver’s License issued by the State of Montana .

Computer:

  • Intermediate to advanced software knowledge in Excel, Access, Word, Outlook, and the ability to learn and adequately operate Alluvion Health software applications.

Language Skills:

Fluent in the English language. Ability to read, analyze, and interpret the most complex documents. Ability to respond effectively to the most sensitive inquiries or complaints.

  • Specific vision abilities required by this job include close vision and looking into monitors for extended periods of time and ability to adjust focus which permits the employee to perform computer procedures, and to produce and review a wide variety of documents, correspondence, reports and related materials in both electronic and printed form;
  • Clarity of speech and hearing that permits the employee to communicate well with others;
  • Mobility that permits the employee to move about in a variety of building settings; Personal mobility that permits the employee to enter, operate and exit motor vehicles, and travel to other clinic sites.

Working Conditions:

  • Work indoors in climate-controlled environment 95% of the time.
  • OSHA Exposure Category #2 (The normal work routine involves no exposure to blood, body fluids, or tissues, but exposure or potential exposure may be required as a condition of employment).

Work Hours:

  • Full-time, exempt. Typically, a 40-45 hour workweek.
