Job Summary:The administrative clerk provides administrative support to ensure the efficient operation of the office. This includes a variety of tasks such as maintaining files and records, invoicing, service slips, customer equipment in systems, keeping data, and assisting with other administrative duties as needed.

Duties:

  • Process Service Slips.
  • Invoicing.
  • Pool and Spa maintenance.
  • Customer Equipment to systems.
  • Basic accounting practices.
  • Communicating with the other department members.
  • Time management and adhering to the deadlines is a top priority.
  • Answer and direct phone calls politely and professionally.
  • Greet visitors to the office.
  • Manage incoming and outgoing mail, including sorting, distributing, and preparing outgoing mail.
  • Assist with scheduling and maintaining calendars for staff.
  • Maintain electronic and hard copy filing systems.
  • Perform data entry and update records as needed.
  • Assist with preparing documents, and reports.
  • Coordinate office supplies and equipment maintenance.
  • Assist with organizing and coordinating meetings and events.
  • Handle confidential information with discretion and professionalism.

Skills and Qualifications:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong communication and interpersonal skills.
  • Excellent organizational and time management skills.
  • Attention to detail and accuracy.
  • Ability to multitask and prioritize tasks effectively.
  • Discretion and confidentiality when handling sensitive information.
  • Familiarity with office equipment such as printers, copiers, and fax machines.
  • Ability to work independently and as part of a team.

Education and Experience:

  • High school diploma or equivalent; additional Administrative Assistant or Secretary qualification will be a plus.
  • Proven experience as an administrative clerk or similar role.
  • Basic accounting background and practices.

The administrative clerk position is a full-time, non-exempt position. The hours are 8 AM - 5 PM, Monday through Friday. Seasonal business trends may fluctuate hours on a needed basis.

Pre-employment drug screen, proof of clean driving record, and background check are required.

Job Type: Full-time

Pay: From $18.50 per hour
